JOB DESCRIPTION

The Document Control Specialist is responsible for the administration, control, and maintenance of documents and records supporting the Quality, Health, Safety, and Environmental (QHSE) Management System. This role ensures that documents and records are reviewed, approved, distributed, and maintained in accordance with company procedures and applicable standards (ISO 9001, ISO 14001, ISO 45001, API Q1/Q2). This position supports audit readiness, document integrity, and compliance across all facilities.


RESPONSIBILITIES

  • Maintain control of QHSE documents including procedures, work instructions, forms, manuals, and records
  • Manage document lifecycle activities including creation, review, approval, revision, distribution, and archival
  • Ensure only current and approved documents are available at points of use across all facilities
  • Administer document numbering, revision control, and document change management processes
  • Maintain document control logs, master document lists, and metadata within the document management system
  • Support maintenance of QMS documentation in accordance with ISO 9001 and API Q1/Q2 requirements
  • Maintain records related to non-conformances, corrective actions, audits, and quality system activities
  • Maintain controlled HSE documentation including policies, procedures, JSAs, hazard assessments, and training records
  • Maintain records associated with incident reporting, investigations, and regulatory compliance requirements
  • Support internal and external audits by ensuring documentation and records are accurate, current, and accessible
  • Coordinate document reviews and revisions with process owners across Quality, HSE, Operations, and Engineering
  • Ensure retention, storage, and disposition of QHSE records comply with company and regulatory requirements
  • Support traceability and consistency of documents and records across multiple facilities
  • Support implementation and continuous improvement of document control and QHSE management system processes
  • Assist with training and awareness related to document control procedures and requirements


METRIC ACCOUNTABILITIES

  • Document control accuracy (revision control, versioning, and metadata integrity)
  • Number of document-related audit findings or nonconformances
  • Corrective action documentation timeliness and closure tracking support
  • On-time completion of scheduled document reviews across QHSE functions
  • Consistency of document implementation across multiple facilities
  • Vendor performance (cost, quality, speed)
  • Training record accuracy and completeness (as applicable to controlled documents)


EDUCATION REQUIREMENTS

  • High school diploma required
  • Associate or bachelor’s degree preferred


REQUIRED EXPERIENCE AND SKILLS

  • 2–5 years of experience in document control, quality systems, or QHSE environments
  • Working knowledge of ISO 9001, 14001, 45001 and/or API Q1/Q2 document control requirements
  • Familiarity with HSE documentation and regulatory recordkeeping practices
  • Experience managing controlled documents within a document management system (SharePoint, EDMS, or similar)
  • Strong attention to detail, organization, and document accuracy
  • Proficiency in Microsoft Word, Excel, and document control systems
  • Ability to manage multiple priorities across departments and facilities
  • Strong communication and coordination skills


PREFERRED EXPERIENCE AND SKILLS

  • Experience in oil & gas, manufacturing, or service-based operations
  • Experience supporting multi-site operations and audit environments
  • Exposure to integrated QHSE management systems


PHYSICAL REQUIREMENTS

  • Ability to sit, stand, and work at a computer for extended periods
  • Ability to occasionally walk in shop, yard, or field environments to inspect vehicles
  • Ability to lift and carry up to 25 pounds occasionally
  • Work is primarily in an office environment with regular exposure to shop or outdoor conditions


TRAVEL REQUIREMENTS

  • Primarily local travel within the Houston area, as needed for vendor coordination
  • Up to 25%
