The Role
This role exists to keep the heart of the clinic beating smoothly. You’ll be the steady presence who makes sure patients feel welcome, practitioners feel supported, and the day-to-day details are handled with care.
In a nutshell: You’re the person who ensures the office runs with ease.
What You’ll Do
Patient Care Coordination, like
- Welcome patients with warmth and professionalism
- Schedule and confirm appointments
- Answer and return phone calls, texts, and emails with empathy and clarity
Clinic Operations, like
- Turn over treatment rooms between sessions
- Track, order, and organize clinic and herbal apothecary supplies
- Support special events and workshops
Community Outreach, like
- Assist with creating and posting social media content that reflects our values and voice
General Support, like
- Pitch in with other administrative or creative projects as needed
What We’re Looking For
- A natural host: someone who makes others feel at ease
- Clear and compassionate communicator with high emotional intelligence
- Proactive, detail-oriented, and reliable
- Strong time management and problem-solving skills
- Background in hospitality, retail, or client-facing work (preferred but not required)
- Interest in or openness to East Asian medicine and holistic health

Technical Skills
- Required: G-Suite (Gmail, Sheets, Docs, Forms)
- Nice to Have: Squarespace, Jane App (or similar scheduling/EHR software)
Hours & Pay
- 12-21 hours per week
- $17-20 per hour

There’s room to grow here. This role may expand in both hours and responsibilities, with the possibility of evolving into an Office Manager position.
Salary : $17 - $20
