Job Summary:
To maintain accurate and reliable information about student records and files in a computerized system in order to retrieve and convey information to appropriate parties.
Key Responsibilities:
- Extensive telephone contact with parents and general public
- Work closely and cooperatively with teachers and counselors; with special education department and teachers regarding scheduling; and counselors regarding schedule changes
- Record grades, Arizona reading, math and writing requirements and credits for ninth graders on permanent record cards
- Compile weekly enrollment reports
- Implement the registration process of new students and withdrawal of all students
- Maintain boundary exception forms
- Keep appropriate records and complete required reports
- Train and supervise registration assistant
- Regular and on-time attendance required
- Perform general clerical tasks
- Request for and receive transcripts
- Assist attendance clerk when needed
- Assists with other assigned duties as appropriate to the area of assignment and Mesa Public Schools
Required Qualifications:
- High School education or equivalent
- Computer proficiency to include use of basic software applications (Word, Excel, etc); experience with district based student database Synergy

- Knowledge of school policies; public school experience preferred
- Ability to organize, to prioritize, to use initiative and to meet deadlines with an accurate attention to detail while working with frequent interruptions and minimum supervision
- Ability to effectively communicate (written and verbal) with students, teachers, parents, district personnel and general public; to be tactful and diplomatic at all times; to maintain confidentiality
Work Environment & Physical Requirements:
- The registrar works primarily in the administrative office of a junior high school
- Typically follows the school’s schedule (e.g., 7:30 AM – 4:00 PM), with occasional overtime during peak enrollment or reporting periods
- Daily interaction with students, parents, teachers, counselors, and administrators
- Moderate Stress: May experience stress during busy times such as registration, end of grading periods, or student transfers
- Sitting for extended periods
- Filing paperwork (requires bending, reaching, lifting up to 25 lbs)
