Job Summary:
To record and maintain daily junior high school student attendance records to provide reliable data for district, state and federal reporting purposes; and to perform a variety of diverse clerical tasks to assigned personnel in support of their work activities.
Key Responsibilities:
- Record, collect and post attendance on computerized system; correct daily reports
- Direct and receive telephone calls to and from parents regarding student absences, appointments, books, etc
- Operate computerized parent notification system (Phonemaster)
- Compile and maintain master list of all registered students to utilize in keeping daily attendance records
- Confer with students on attendance and tardiness
- Establish and maintain an accurate attendance file on each student
- Confer with administrators on student attendance, excessive absences, etc; prepare attendance correspondence
- Compile and distribute a daily list of excused and unexcused absences to teachers and administrators
- Maintain lists of students out of class for authorized school activities; maintain daily check-out log of all students leaving campus
- Work cooperatively with school nurse and students and other personnel assigned to attendance office
- Submit year-end attendance report; post yearly attendance data on permanent records
- Perform a variety of diverse clerical tasks (typing, filing, copying, scheduling, recordkeeping, etc) for assigned personnel
- Participate in on-going training to maintain and improve job skills
- Regular and on-time attendance required
- Assists with other assigned duties as appropriate to the area of assignment and Mesa Public Schools
Required Qualifications:
- High School education or equivalent
- Minimum one year clerical experience
Preferred Qualifications:
- Experience with district based student database Synergy
- Experience in attendance record keeping preferred; knowledge of school policies helpful

- Ability to organize, to prioritize and to meet deadlines with an accurate attention to detail while working with frequent interruptions and minimum supervision
- Ability to effectively communicate (written and verbal) with students, teachers, parents, district personnel and general public; to be tactful and diplomatic at all times; to maintain confidentiality
Work Environment & Physical Requirements:
- Indoors, in a standard office within a junior high or middle school
- Especially during student arrivals, departures, and school events
- Frequent contact with students, parents, teachers, and administrators
- Daily use of computers, office software (e.g., Microsoft Office, student information systems), fax machines, copiers, and phones
- Mostly seated while working at a desk, but may stand or walk around the office or school
- Occasionally lift and carry office supplies or small packages (typically up to 25 pounds)
