Position Profile: Standley Systems’ Client Billing Specialist will be responsible for reviewing incoming sales paperwork, processing new sales orders, managing sales in Sales Scorekeeper, invoicing sales orders, sending agreements off to complete funding, and completing the contract final billing and set up. This position will report directly to the Contracts Team Lead.

Primary Responsibilities

Contract Setup and Administration

  • Review and verify all new sales paperwork for the assigned territory or product, ensuring documentation is complete and accurate. Ensuring synchronization is accurate from system to system.
  • Manage the contract setup process from start to finish, including verifying approved pricing and terms, entering contract details, establishing billing schedules, funding and confirming accurate and timely initial invoices.
  • Add or remove equipment from contracts and update contract records when equipment is moved.
  • Process equipment restocking and service exchanges, ensuring all related records are updated.
  • Monitor and track equipment that has been installed as loaners or demo units.
  • Process lease-turned-rental transitions for the assigned territory.

Billing, Commissions, and Reporting

  • Process sales commissions accurately and on time.
  • Coordinate and process special, daily billing requirements for the assigned territory, working in multiple systems. Ensuring 3rd party vendor invoices are accounted for
  • Review equipment pickup lists, change the applicable contract billing group to “Final,” and complete final billing for equipment that has been picked up.
  • Prepare the weekly contract cancellation report.

Client and Sales Support

  • Respond to client and internal questions about contracts and contract invoices.
  • Provide copies of contracts to clients and Sales upon request.
  • Assist Sales with lease and contract questions, including lease buyouts, co-term lease rates, and average monthly print volumes.

Team Support and Reliability

  • Maintain reliable attendance and punctuality during scheduled business hours.
  • Provide backup coverage for other roles and assist with additional responsibilities as needed.

Computer Skills

  • Proficient in Microsoft Word, Excel, Email, Teams, Zoom, PDF editing

Experience

  • Accounting experience (preferred)

Education

  • Associates or bachelor’s degree and/or related work experience

  • Must be able to pass drug and alcohol screen. Standley Systems has federal contracts that require compliance with the Drug-Free Workplace Act of 1988, therefore medical marijuana license-holders who test positive for marijuana will not be qualified for the position.
  • While performing the duties of this job, the employee is regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer and telephone keyboard
  • Specific vision abilities required by this job include close vision requirements due to computer work
  • Light lifting might be required
  • Regular, predictable attendance required
