The Opportunity
The Legal Operations Manager leads the legal operations function by overseeing data, processes, and systems that enable efficient and compliant legal support. This manages the day-to-day legal operations while driving process improvements, reporting, and cross-functional collaboration. The Legal Operations Manager supervises and develops team members, ensures alignment with company policies and regulatory requirements, and partners with leadership to optimize workflows, enhance technology solutions, and support organizational priorities.
What You’ll Do
- Support and coordinate work across legal operations activities, ensuring alignment with company policies, adherence to established processes, and timely completion of deliverables.
- Conduct regular one-on-one meetings, performance reviews, and goal setting with team members.
- Review, analyze, and redline contracts including vendor agreements, supplier contracts, NDAs, service agreements, and other commercial agreements under attorney supervision.
- Identify and flag key risk areas, non-standard terms, and deviations from approved contract templates or company positions.
- Support contract negotiations by preparing redlines, comparison summaries, and recommended fallback positions for review by legal counsel.
- Track contract status, renewal dates, expiration deadlines, and key obligation milestones to ensure timely action.
- Manage the contract execution process, including coordinating signatures, verifying final terms, and ensuring fully executed copies are properly stored and distributed.
- Assist in developing and maintaining the company's contract playbook, including acceptable and preferred positions on key terms.
- Assist with IP portfolio management, including monitoring filing deadlines, coordinating with outside counsel, and maintaining IP records.
- Manage and coordinate legal hold processes, including issuing hold notices, tracking custodian acknowledgments, and ensuring preservation compliance.
- Coordinate with outside counsel on active matters, including tracking invoices, monitoring budgets, and reviewing billing against agreed-upon guidelines.
- Analyze legal and operational data to identify trends, insights, and opportunities for improvement.
- Prepare routine legal reports, dashboards, and spend summaries.
- Conduct data validation and quality checks within legal systems (e.g., matter management tools).
- Support legal scheduling, calendars, and departmental activities.
- Maintain accurate and organized records for legal matters, contracts, and vendors.
- Ensure proper storage, classification, and retrieval of legal documents.
- Assist in preparing documentation related to legal and regulatory matters.
- Apply judgment to assess whether processes and activities comply with applicable laws, regulations, and company policies.
- Support enforcement of company policies, including brand protection initiatives.
- Partner with legal counsel to interpret new or changing laws impacting operations.
- Conduct legal and regulatory research (e.g., statutes, case law, articles).
- Gather and synthesize information from multiple sources to support decision-making.
- Translate complex legal or regulatory information into clear, usable guidance.
- Communicate with internal and external stakeholders, including vendors, government entities, and business partners.
- Provide guidance and training to internal teams on legal processes, tools, and contract submission procedures.
- Build and maintain strong working relationships across departments.
- Perform administrative and clerical tasks to support legal operations.
- Utilize legal technology and computer systems to manage data and workflows.
- Stay current with legal operations tools, systems, and best practices.
What You Bring
Education:
Bachelor’s degree in a related field or Paralegal certification with relevant professional experience
Certifications/Licenses:
- N/A
Experience:
- 3 years of experience supporting legal, compliance, or operations functions
- Experience with legal operations or matter management systems (preferred)
Specialized Knowledge and Skills:
- Basic understanding of legal terminology, documents, and processes
- Proficiency with Microsoft Office and data/reporting tools
- High attention to detail and organizational skills
- Strong analytical and problem-solving skills
- Familiarity with contract lifecycle management tools (preferred)
