PR Sample Coordinator - Retail (Onsite San Francisco, CA)
We are seeking a Public Relation Sample Coordinator for one of our global retail clients to support the Public Relations team by managing editorial sample requests, inventory, product seeding, and administrative operations. This role is responsible for coordinating product samples for editors, influencers, VIPs, and media partners while ensuring accurate inventory tracking, timely communication, and efficient execution of PR initiatives.
This is a 40-hour per week, 7-month contract (possible extension), an onsite role in San Francisco, CA.
This is a W2 role as a Stage 4 Solutions employee. Health benefits and a 401K are offered.
Responsibilities
Manage incoming editorial sample requests through the warehouse order process, from request intake to shipment tracking.
Coordinate priorities with the manager when multiple sample requests are received.
Facilitate store pulls for urgent product requests.
Partner cross-functionally to borrow samples when needed.
Order long lead and seeding samples through the internal product sample system according to the sample calendar.
Provide regular status updates on pending sample orders.
Assist with packaging and execution of product send-outs, including pulling product, packaging, shipping, and list management.
Ensure all products are checked in and organized within the sample closet.
Communicate with vendors to resolve issues related to long lead samples.
Maintain inventory grids and track outgoing samples and incoming returns.
Communicate professionally with internal and external contacts, including editors.
Assist in creating seeding lists for VIPs, influencers, and media.
Coordinate with the mailroom and messenger service to resolve shipping and delivery issues.
Complete photo requests using the internal photo-sharing platform.
Attend team meetings, seeding meetings, and seasonal product kick-offs.
Requirements
Experience managing product samples, inventory, or product requests.
Experience coordinating shipments, packaging, and product distribution.
Strong organizational skills with the ability to manage multiple priorities.
Excellent written and verbal communication skills.
Experience working cross-functionally with internal teams and external partners.
Strong attention to detail and inventory management skills.
