Facilities Coordinator
Schedule: Monday-Friday 8:30am - 4:00pm
Pay rate: $18.00-$19.00 per hour depending on experience
This role is responsible for performing complex clerical duties involving the operation of all office equipment, with emphasis in PC applications. Must be able to communicate effectively, orally and in writing. Requires the ability to work independently and in conjunction with the Director of Facilities Management and to prioritize functions of the department in order to facilitate an organized and efficient workflow within the department.
Essential job functions:
Handles various clerical duties for the department, i.e. typing, filing and data input.
Handles all receptionist duties for the facilities site, including monitoring phone calls, mail distribution, and coordinates all department correspondence.
Assists the Director of Facilities Management in E-Timekeeping approval of staff timesheets and paid time off requests, including maintaining vacation calendar.
Maintain Employee Appraisal Schedule.
Maintains, record, reconcile, updates and generates reports.
Track outstanding POCA items relating to Facilities issues.
Complete POCA forms for Facilities
Follow up on any Transportation related tasks in the absence of the Transportation Coordinator.
Follow up on any Custodial related tasks in the absence of the Custodial Coordinator.
Maintain an accurate filing system, i.e. five-year plan, site checklist, tool listing, renovation status, vehicle costs.
Manage emergency situations efficiently and calmly.
Monitor inventory and order all office supplies, forms and materials needed by the department.
Submit purchase orders.
Maintain department petty cash account and any related banking matters.
Track and manage Emergency Pager.
Manages Staff Development.
Schedules interviews, checks references, generate Change Forms and ERRs.
Required Knowledge, Skills and Abilities:

Ability to type accurately at satisfactory rate of speed and write legibly.

Must have manual dexterity and visual acuity to keyboard and must be able to hear and orally communicate on the telephone. Ability to manipulate furniture, equipment and supplies.
Education and Experience requirements:
Associate's degree and 1-year of relevant experience OR High School Diploma and specialized training course with 3-years relevant experience
