Staff Management Group is seeking a Customer Service & Administrative Coordinator for our client in East Rutherford, NJ. Please read the ENTIRE job description and ALL of the job requirements BEFORE applying for this position.


Schedule:

  • 1st Shift
  • Mondays - Thursdays 7:30AM - 3:30PM AND Fridays 7:30AM - 3PM


Pay Rate:

  • $20 / hour


Job Summary: 

We are seeking a detail-oriented and customer-focused Customer Service & Administrative Coordinator to support daily office operations, customer account management, order processing, and administrative functions. This role serves as a key point of contact for customers while ensuring accurate order entry, billing, documentation, and office organization.


The ideal candidate is highly organized, self-motivated, able to multitask effectively, and committed to delivering excellent customer service in a fast-paced environment.


Job Responsibilities:

  • Answer incoming phone calls and greet visitors and customers professionally
  • Assist customers with account-related questions regarding orders, accounts receivable (AR), accounts payable (AP), and other account inquiries that do not require escalation
  • Enter customer orders accurately into the system
  • Create and enter new parts into company databases and systems
  • Confirm customer orders and provide payment information for COD accounts
  • Prepare outgoing paperwork for deliveries and customer pickups
  • Sign out customers picking up orders from the facility
  • Process daily customer billing and generate invoices
  • Email and mail invoices to customers in a timely manner
  • Create and manage backorders for incomplete shipments or pickups
  • Maintain customer folders, records, and filing systems
  • Perform general office administrative duties and support daily operations
  • Order lunch for office staff and designated plant personnel Monday through Friday
  • Maintain detailed inventory records of office supplies and coordinate replenishment as needed
  • Support additional customer service and administrative projects as assigned. 


Job Requirements:

  • MUST be bilingual - English AND Spanish
  • Strong attention to detail and accuracy
  • Ability to multitask and manage multiple priorities effectively
  • Self-motivated with a strong work ethic
  • Team-oriented attitude with the ability to collaborate across departments
  • Strong math aptitude and problem-solving skills
  • Quick learner with the ability to adapt to new systems and processes
  • Excellent customer service, communication, and interpersonal skills
  • Strong organizational and time-management abilities
  • Proficiency in Microsoft Office, including Word and Excel
  • Ability to work independently and in a fast-paced office environment
  • Professional demeanor when interacting with customers, vendors, and coworkers.
