StaffBuffalo is working with a family-owned eye care practice in the Northtowns to hire a Front Desk Administrator, paying $20–$25/hour. This is an excellent opportunity to join a close-knit team with a long history of serving Western New York and providing personalized, community-focused care.
This Front Desk Administrator role, you will be the first point of contact for patients, managing check-in and check-out, answering phones, scheduling appointments, verifying insurance information, and helping the office stay organized throughout the day. The team supports a high volume of patients each day, so strong communication, professionalism, reliability, and a positive attitude are essential.
This Front Desk Administrator position is an on-site position with the location in the Northtowns and has flexibility to be full-time or part-time. The practice offers hands-on training, cross-training opportunities, schedule flexibility when possible, and room to grow within a supportive team.
This is an in-person, On-Site position in Western New York (Northtowns).
Responsibilities:
- Welcome patients, complete check-in and check-out, and create a professional, friendly front office experience
- Answer incoming calls, respond to patient questions, and route messages accurately and promptly
- Schedule, confirm, and adjust patient appointments across multiple providers and office locations
- Collect and verify insurance information, update patient records, and support accurate front office documentation
- Coordinate with technicians, scribes, doctors, and administrative team members to keep daily workflows moving smoothly
- Support occasional coverage at another office location and participate in cross-training across front office and patient support functions
Qualifications:
- High school diploma or equivalent required; additional administrative or healthcare training is a plus
- Previous customer service, reception, medical office, or administrative experience preferred
- Strong verbal communication skills with a professional, friendly, and patient-focused approach
- Reliable, organized, and comfortable managing phones, schedules, records, and changing priorities
- Comfort using/learning Gmail, electronic health record (EHR) software, insurance verification processes, and optical workflows
