Position Summary
Saint Ursula Academy is seeking a detail-oriented and highly organized Campus and Facilities Logistics Coordinator. This vital role manages the school’s campus calendar, coordinating all logistics for events and meetings across the campus. The coordinator will ensure that setup, support, and teardown of events are handled efficiently and collaboratively. Additionally, this position provides key logistical support to the Facilities Department and serves as a central point of communication for event-related operations.
Key Responsibilities
- Manage and coordinate all campus events using the FMX scheduling system.
- Communicate detailed event requirements (setup, support, teardown) at least 21 days in advance.
- Act as liaison for internal and external facility usage, including managing contracts and documentation.
- Collaborate with departments including Athletics for gym and field rentals.
- Schedule police detail and crossing guards as needed for events and daily school operations.
- Coordinate communication with faculty, staff, students, and volunteers regarding event logistics.
- Serve as the primary contact for the school’s lunch service, assist during lunch periods, and oversee servery register usage.
- Maintain records for staff and paid student parking; conduct daily campus walkthroughs to identify parking issues.
- Develop weekly maintenance staff schedules, submitted three weeks in advance for approval.
- Manage and direct deliveries across campus to appropriate recipients and locations.
- Provide logistical planning and support for minimester programming, including transportation and room usage.
- Perform other duties as assigned by the Facilities Manager.
Education & Experience
Associate degree OR a minimum of two years of relevant experience in logistics, operations, or facilities coordination.
Knowledge, Skills & Abilities
- Proficient in Google Workspace and Microsoft Office; ability to learn and use FMX and other job-specific software.
- Excellent communication and interpersonal skills.
- Strong project management skills with the ability to initiate and complete tasks independently.
- Highly organized with attention to detail, punctuality, and time management.
- Collaborative team player who can adapt in a dynamic environment.
- Ability to work a flexible schedule, including occasional evenings and weekends.
