About the Role
We are a growing design–build and remodeling company seeking a highly organized, proactive Operations & Executive Assistant to support executive leadership, strengthen internal systems, and coordinate cross-functional workflows. This role blends operations, administration, project coordination, and executive support.
You will work directly with the CEO and play a key role in shaping how the company operates.
Responsibilities
Operations & Workflow Support
- Manage executive calendar, priorities, and meeting coordination
- Organize internal processes, documents, and cross-team workflows
- Coordinate vendor communication, scheduling, and material tracking
- Follow up on tasks to ensure deadlines are met
Administrative & Office Management
- Maintain structured digital and physical filing systems
- Draft and proof internal and external communications
- Provide front desk coverage as needed
- Manage office supplies, equipment, and organization
Project & Sales Support
- Assist in preparing proposals, estimates, and presentations
- Update CRM and project management tools with accurate data
- Track project milestones and follow up with relevant departments
Financial Coordination
- Assist with invoice tracking, expense logs, and payment verification
- Support basic QuickBooks tasks
- Prepare weekly financial summaries for leadership
Qualifications
- Strong organizational and communication skills
- Proven ability to manage multiple projects and priorities
- High proficiency with Google Workspace and Microsoft Office
- QuickBooks familiarity preferred
- Attention to detail — accuracy is essential
- Experience in construction, remodeling, design, or architecture is a plus
- Driven, dependable, structured, and proactive
Compensation
$55,000–$65,000 starting range, depending on experience
