What You Will Do
Front Office Experience and Patient Flow
Serve as the first point of contact, greeting patients with professionalism and warmth
Create a calm, organized, and elevated reception environment
Manage patient check-in and check-out with accuracy and efficiency
Guide patients through their visit, ensuring clarity on next steps so they feel informed and at ease
Support a smooth, on-time flow of the daily schedule
Maintain a polished and welcoming front office at all times
Scheduling and Coordination
Schedule consultations, procedures, and follow-ups with precision
Balance provider schedules while optimizing patient access and flow
Provide clear instructions regarding appointments, preparation, and arrival times
Coordinate closely with clinical and surgical teams to ensure readiness
Anticipate scheduling conflicts and proactively problem-solve
Patient Communication and Service
Answer phones with clarity, confidence, and professionalism
Respond to patient questions with accuracy and empathy
Act as a liaison between patients, providers, and internal teams
Create a consistent, high-quality experience across every touchpoint
Recognize patient concerns and respond with professionalism and care
Financial and Administrative Responsibility
Collect payments in alignment with practice policies
Ensure patient demographics, insurance, and documentation are accurate and up to date
Maintain organized, compliant patient records
Support administrative tasks that contribute to operational excellence
Protect patient confidentiality at all times
Who You Are
Experienced in a medical, aesthetic, or high-end service environment
A natural communicator who builds trust quickly
Highly organized with strong attention to detail
Calm, composed, and solution-focused under pressure
Service-driven with a commitment to excellence
Professional in both appearance and demeanor

Qualifications
2 years of experience in a medical office, aesthetic practice, or customer-facing service role preferred
Experience With EMR Systems Preferred
Proficiency in Microsoft Office
Working knowledge of HIPAA and patient confidentiality standards
Strong written and verbal communication skills
