REPORTS TO: Technical Director
POSITION SUMMARY: The Production Coordinator is responsible for coordinating the technical and logistical execution of events, ensuring the seamless operation of production elements, with a focus on rentals, internal events, and non-orchestra presentations. This role requires thorough technical expertise, organizational skills, and the ability to work effectively under pressure. Reporting to the Technical Director, the Production Coordination collaborates closely with the Rentals and Events Manager and other members of the Artistic Operations staff, external vendors, artists, and clients to support the execution of a variety of activities and events to deliver high-quality event experiences.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Event Execution:
- Coordinate technical production aspects, including staging, audiovisual, lighting, sound, and special effects, with a focus on rentals and internal events.
- Serve as a liaison to rental clients; assist with preparation of expense estimates for rental contracts and final billing.
- For rentals and events, create and implement logistical plans and documents for site setup, operation, run-of-show, and teardown, including production schedules, backstage setups, production sheets, and setup diagrams as needed. Adjust event execution based on feedback and real-time needs.
- Coordinate with facilities staff for building hours and security, cleaning, and engineer staffing needs for events and facility maintenance needs.
- Assist Technical Director with management and coordination of union labor and vendors with a focus on rentals, internal events and non-orchestra presentations, including needs and scheduling, and ensuring compliance with labor union jurisdictions and regulations. As needed, supervise SLSO stage crew calls, ensuring compliance with collective-bargaining agreements with IATSE Locals 6 and 143.
- Advance, procure, and coordinate equipment needs, including piano, backline, and other instruments and production-related equipment.
- Coordinate with artistic staff and Food and Beverage Manager to administer artist merchandise sales for events, including setup, sales and staffing, and inventory management.
- Process and track production expenses, ensuring adherence to budget guidelines, and provide other department related clerical support.
- Staff and serve as primary production support for IN UNISON Chorus activities in the Jack C. Taylor Music Center, as well as select projects outside the venue. Compile weekly production needs for distribution to staff and crew. Create production sheets, concert run sheets, and other related production reports; staff chorus rehearsals and concerts at the Jack C. Taylor Music Center and select projects outside the venue. Provide backup support for St. Louis Symphony Chorus rehearsals and activities as needed.
Technical Expertise:
- Possess a thorough understanding of technical production principles and practices and experience in operating and troubleshooting related equipment.
- Knowledge of stage management techniques and best practices.
Other Duties:
- Participate in the duty rotation for orchestra presentations and service staffing for SLSO ensembles.
- Participate in production-related department meetings.
- Perform other duties as assigned.
