Position Summary
The Parish Administrator serves as the primary administrator of St. John's Episcopal Church and is responsible for ensuring the efficient operation of the church office and parish business affairs. This position works closely with the Rector, Vestry, staff, volunteers, and ministry leaders to support the congregation's mission and ministries.
The Parish Administrator provides leadership in administration, communication, financial coordination, records management, facility scheduling, and parish operations while maintaining a welcoming and hospitable environment for members, visitors, and community partners.
Essential ResponsibilitiesOffice Administration
- Serve as the primary point of contact for the church office.
- Maintain regular office hours and provide hospitality to parishioners and visitors.
- Manage church correspondence, phone calls, mail, and email communications.
- Coordinate parish calendars, facility use requests, and meeting schedules.
- Order and maintain office supplies and equipment.
- Maintain parish files and administrative records.
Financial Administration
- Oversee contributions and other church income.
- Coordinate accounts payable and accounts receivable.
- Work with the Treasurer, Finance Committee, and Rector on financial reporting.
- Prepare and distribute monthly financial reports.
- Maintain confidentiality regarding all financial matters.
- Assist with stewardship campaigns and annual giving records.
Membership and Sacramental Records
- Maintain parish membership database.
- Record baptisms, confirmations, receptions, marriages, burials, and transfers in accordance with Episcopal Church canons.
- Prepare annual parochial reports and diocesan reports as directed.
- Maintain accurate parish registers and records.
Communications
- Prepare and distribute weekly parish communications.
- Coordinate newsletter production.
- Assist with website updates and social media content.
- Produce worship bulletins and special event materials.
- Maintain parish communication systems and contact lists.
Worship and Ministry Support
- Coordinate schedules with clergy, musicians, acolytes, lectors, and other worship leaders.
- Support weddings, funerals, baptisms, and special liturgical events.
- Assist ministry leaders with scheduling, communications, and administrative needs.
Vestry and Leadership Support
- Distribute Vestry meeting packets and agendas.
- Maintain official parish records and policies.
- Assist the Rector and wardens with administrative projects.
- Support parish strategic planning and implementation efforts.
Technology and Data Management
- Maintain parish database systems.
- Coordinate technology vendors and service providers.
- Assist with office technology and troubleshooting.
- Support livestreaming, website, and digital communication systems as needed.
Facilities Coordination
- Coordinate building use requests and facility scheduling.
- Serve as liaison with vendors and contractors.
- Monitor facility maintenance needs and communicate concerns.
- Assist with key management and building access procedures.
Qualifications
Required

Preferred
- Experience in church administration or nonprofit management.
- Familiarity with Episcopal Church structure and terminology.
- Experience with church management software (Realm) and financial systems.
- Knowledge of parish records and canonical requirements.
