What are the responsibilities and job description for the Bookkeeper position at St Edmond Catholic School/Holy Trinity Parish?
Overview of Position: Provide for the efficient operation of the parish business office by completing financial transactions for the parish, and school when applicable, in a timely and efficient manner.
Job Responsibilities:
Responsible for input of all financial receipts, balancing journals by fund, and preparing deposits on all cash received. Reviews and processes all incoming invoices. Verifies for accuracy against purchase orders and totals. Responsible for issuance of checks. Files all paid invoices and expense vouchers. Duties include proper verification and approval of invoices / expense vouchers.
Responsible for preparation of all recurring monthly invoices and charges as needed. Ensures that parishioner donations are recorded accurately and statements are prepared as needed. Maintains a complete system of record retention in cooperation with Diocesan Archival Guidelines. Reviews all prior years' retention -- storing, saving and destroying financial data as needed. Assist with other general office responsibilities as assigned - special projects, balancing of work load, or assisting in the absence of other employees. Prepare 1099's at the end of year along with help with annual stewardship statements involving grain sales, stock sale, and IRA direct distributions. Handles all data entry, deed work, and all accounting for Holy Trinity Parish Cemeteries. Communication and coordination with funeral homes and monument companies.
Annual update of church bulletin advertising pages including selling, layout, billing, etc. Maintains current information on all endowment, investment, parish sponsored organizations and school activity groups (where applicable) funds and records and reconciles this information in Blackbaud.
Attend monthly Holy Trinity Parish financial council meetings along with yearly Diocesan bookkeepers meeting. Monitor budgets for the booster clubs and athletics and make activities director aware of discrepancies as well as working closely with the activities director to ensure all checks are cut.
