Executive Assistant to the Assistant Head of School

Position Overview The executive Assistant serves as a trusted partner to the Assistant Head of School, providing high-level administrative, operational, and strategic support. This role blends executive assistance with project management and organizational leadership, ensuring the Assistant Head’s priorities are advanced efficiently and the school operates with clarity and alignment.
The ideal candidate is proactive, highly organized, discreet, and capable of managing both day-to-day logistics and long-term initiatives in a dynamic school environment
Key Responsibilities
Executive Support
- Managethe AssistantHead of School’s calendar, scheduling, and daily priorities with a strong sense of judgment and foresight
- Prepare briefing materials, correspondence, presentations, and reports
- Serve as a gatekeeper and liaison betweentheAssistantHead of School and internal/external stakeholders
- Coordinate meetings and special events
Strategic Coordination
- Support the execution of strategic initiatives and school-wide priorities
- Track progress on key projects and ensure accountability across departments
- Prepare agendas, materials, and follow-up for leadership team meetings
- Conduct research and provide analysis to support decision-making
Operations & Communication
- Ensure smooth day-to-day operations of theAssistantHead’s office
- Draft and manage high-level communications on behalf of theAssistantHead of School
- Support crisis communication and sensitive matters with discretion
- Help align messaging across theschool’s internalleadership teamand leadership team
Project Management
- Lead and manage special projects as assigned by theAssistantHead of School
- Coordinate cross-functional initiatives involving multiple departments
- Monitor timelines, deliverables, and outcomes
Qualifications
- Bachelor’s degree required; advanced degree preferred
- 5 years of experience in executive support, administration, or leadership roles
- Experience in an educational setting preferred, particularly independent schools
- Exceptional organizational and time management skills
- Strong written and verbal communication skills
- High level of discretion, professionalism, and emotional intelligence
- Ability to anticipate needs and solve problems proactively
- Proficiency with office and communication technologies
