Responsibilities
- Maintain, organize, and update employee personnel and medical files in accordance with policy and legal requirements, ensuring the integrity and confidentiality of all human resource records.
- Ensure all records are complete, accurate, and filed promptly, including but not limited to personnel documents, training records, performance evaluations, and medical documentation.
- Scan and convert physical personnel and medical documents into digital format, ensuring clarity, accuracy, and proper document indexing.
- Review scanned files for completeness and quality, making corrections or rescanning as needed to ensure reliable digital records.
- Organize and upload digitized documents into the appropriate electronic filing systems or employee records.
- Audit personnel and medical files regularly to ensure compliance with retention schedules, privacy regulations, and internal standards.
- Secure and protect confidential employee information by following established privacy and access-control procedures.
- Maintain logs, inventories, or tracking spreadsheets to document file contents.
- Coordinate the transfer and storage of archived files, including preparing boxes, labels, and documentation.
- Answers questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate HR staff or management.
- Assists with projects by gathering, copying, and collating documents.
- Assists with new hire employee orientation.
- Assists with new hire orientation, including verifying I-9 documents.
- Create new employee ID badges as needed.
- Receives and distributes office mail and COBRA/Retiree payments.
- Verifies past wages are correct for current and former employees upon request.
- May assist with special department projects.
- Performs other duties as assigned.
- General or technical high school diploma or equivalent
- Some college or general clerical experience is desirable
- Proficient in Microsoft Office (Outlook, Word, Excel)
- Knowledge of modern office practices, procedures, and equipment
- Ability to pay attention to detail, follow instructions, file alpha and numeric and verify data
- Working skills in customer relations and service
- Any combination of education, training, and experience that provides equivalent knowledge, skills, and abilities will be considered.
