Job Purpose
This position is structured as a job share arrangement providing combined full-time coverage. The
Office Support Associate role is responsible for maintaining a smooth-functioning office environment, including answering phones, greeting visitors, managing incoming and outgoing mail and overnight packages, monitoring and replenishing office supplies, and providing general support to management. The role also supports the Operations team by responding to external surveys and census reporting requirements, including Bureau of Labor Statistics (BLS) reporting, Multi-Worksite reporting, New York Paid Family Leave (NY PFL) reports, and annual surveys of employee and economic data.
Duties & Responsibilities
Office Duties: Answer phones, greet and coordinate visitors, and distribution of phone calls. Develop a contact list of all phone calls for better management of calls. Develop and monitor office supply levels to ensure a smooth-running office such as copier supplies, coffee, cups, paper, pens, pencils, and any other general office supply. Support all members of staff.
Reporting Duties: Coordinate and report to Federal, State and Local Census reporting of employee and economic data as needed. Assist in building reports for clients and external agencies and making payments to external reporting agencies as needed. Assist in quarterly and annual tax reporting as needed.
Skill/Experience Requirements
- 5 years of experience working in an office setting with increasing office coordinating people.
- Very Strong computer skills and proficiency with Microsoft Office (Excel, Word, and Outlook).
- Additional knowledge of PrismHR system and reporting abilities preferred.
- Strong organizational and time management skills. Excellent communication and customer service skills.
