We are seeking a full time Administrative Assistant to work in our midtown office to provide administrative support for security guard operations and provide administrative support to owner. Responsibilities/Skills include:
- Prior Experience in the security industry a plus
- NYS Security license required a plus.
- Familarity with FDNY Fire Guard licenses.
- Scheduling/Dispatch Responsibilities
- Employment Screening
- Setting Employment Interviews
- Maintaing Spreadsheets - Excell
- Microsoft Office/Outlook
- Strong Phone Skills/Communication
- Internet Research
- Ordering supplies with vendors
- Scanning and filing
- Provide basic and accurate information in-person and via phone/email
- Perform other clerical duties such as filing, photocopying, transcribing and faxing
- Back up the HR Admin/Recruiter during absences and breaks
- Any other duties as required
Required Qualifications and Experience:
- Be a minimum of 18 years of age
- Preferred Associates Degree/Minimum - HS Diploma combined with relevant experience
- At least 2 years of securitydispatch/scheduling experience
- Must be authorized to work in the United States
- Intermediate or advanced knowledge of Microsoft Office, Excel, etc.; the capability to use and/or learn to use a computer and peripheral equipment required
- Math skills to include fractions and percentages.
- Hands-on experience with office equipment (e.g. phones, fax machines and printers)
- Excellent oral and written communication skills
- Ability to be resourceful and proactive when issues arise
- Ability to deal with internal and external customers and perform multiple tasks simultaneously in a timely, courteous and professional manner
- Ability to get along with other employees, follow directions, works under stress and continuously improve.
- Ability to establish and maintain effective working relationships with associates, supervisors and the general public.
- Must have excellent organizational, multitasking and time-management skills, with the ability to prioritize tasks
- Ability to conform to complex procedures
- Must have the ability to maintain satisfactory attendance and punctuality
