Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to support the daily operations of our growing business. This position plays a key role in keeping the office running efficiently by managing administrative functions, financial processes, compliance tracking, and vendor relationships.
The ideal candidate is proactive, dependable, and comfortable handling multiple responsibilities with accuracy and professionalism.
Responsibilities
Administrative & Office Operations
- Open, sort, and distribute incoming mail and correspondence
- Answer and route incoming phone calls professionally
- Maintain office supply inventory and manage ordering
- Coordinate office equipment maintenance and vendor appointments
- Support office organization and workflow efficiency
Licensing & Compliance
- Monitor and renew firm and staff business licenses
- Track continuing education requirements and deadlines
- Maintain business registrations across multiple states
- File annual reports and ensure regulatory compliance
- Prepare compliance status updates for leadership
Accounting & Financial Administration
- Manage accounts payable and receivable with vendors
- Process payroll and calculate commissions accurately and timely
- Reconcile bank accounts and maintain financial records
- Assist with monthly reporting and documentation
- Ensure bills and vendor invoices are paid on schedule
Qualifications
- 3 years of office administration or bookkeeping experience
- Strong organizational and time-management skills
- Experience with payroll processing and bank reconciliations
- Knowledge of licensing and regulatory compliance is a plus
- Proficiency in Microsoft Office (Excel required)
- Accounting software experience preferred
- High level of discretion with confidential information
- Strong written and verbal communication skills
