JOB DESCRIPTION
Beyond Brighter Minds is looking for a results-driven, systems-minded Director of Operations with a proven track record running operations in a multi-site, service-delivery business. This is the person who owns every non-clinical function of the agency, including scheduling, administration, HR, systems, and facilities across all locations.
The Director of Operations sits between the founders and the team, building the infrastructure and accountability structures the business needs to scale. Your goal is to make the agency run smoothly and predictably so that our clinical leaders can focus entirely on clinical delivery, client outcomes, and growth. The application code word is EMPOWER. You are a strategic thinker who anticipates and solves problems in a self-directed way, and who builds and leads a team that can move fast while holding quality and culture.
This is a full-time, in-person role based in the Greater Los Angeles area. The multi-site, session-based nature of ABA operations, spanning center-based and community delivery across our locations, calls for consistent on-site leadership presence.
Given how critical this position is to the business, we host a rigorous, multi-stage application process.
WHY THIS ROLE IS DIFFERENT
This is a build-and-scale role, not a maintenance one. You are joining an organization that has achieved strong clinical growth and now needs a leader to build the operational foundation for its next stage.
Today, much of the business runs on the efforts and knowledge of talented people rather than documented systems. Scheduling still relies heavily on spreadsheets, and a practice-management platform is mid-implementation and needs a leader to drive adoption. The team is strong and committed, but needs the structure, standards, and accountability to operate proactively. Your role is to turn tribal knowledge into scalable, measurable systems.
You will work closely with the founders and leadership team to create the structure, visibility, and accountability needed to support continued growth. For the right person, this role offers a clear path to senior executive leadership as the organization expands. You do not wait for perfect conditions. You build them.
THE OPPORTUNITY
The Director of Operations owns all non-clinical operations across the organization, including scheduling, administration, HR operations, systems implementation, facilities management, and operational reporting.
You will have significant autonomy and decision-making authority within your scope. We are looking for a leader who can identify problems, design solutions, implement systems, and build teams that consistently execute at a high level. Your success will allow our clinical leadership team to focus on what they do best: delivering exceptional care, supporting families, and improving client outcomes.
Across our three active locations you will work with our established clinical leadership, our existing administrative & scheduling teams. We are excited for you to optimize our systems and processes to ensure we can meet the growing demand for our services.
RESPONSIBILITIES
Operational Ownership
- Own scheduling, administration, HR, systems, and facilities across all locations
- Ensure non-clinical operations run independently of clinical leadership
- Build consistent processes, communication, and culture across sites
Team Leadership
- Lead the scheduling and admin teams with clear accountability and support
- Build a proactive team with strong ownership of responsibilities
- Maintain performance through clear expectations, feedback, and coaching
Systems & Process Implementation
- Lead adoption of scheduling and clinical data platforms, including training and accountability
- Convert ad-hoc workflows into documented SOPs across onboarding, intake, scheduling, and HR
- Reduce reliance on spreadsheets while maintaining data accuracy
Communication & Cadence
- Establish structured meeting rhythms for leadership, scheduling, and cross-site coordination
- Ensure consistent communication across locations
HR & Performance Management
- Manage onboarding, attendance, disciplinary processes, and retention initiatives with HR support
- Run people-management processes on a consistent cadence
Financial Visibility & Reporting
- Coordinate billing and collections with external partners
- Track revenue leakage and surface issues early
- Build dashboards for utilization, fill rates, intake, billing, and staff performance
REQUIREMENTS
Experience (Non-Negotiable)
- Experience leading operations across multiple locations in a service business
- Proven success building systems, SOPs, scheduling, HR, and performance processes in growing organizations
- Hands-on HR experience including onboarding, performance management, discipline, and retention
- Experience with complex scheduling environments, ideally in healthcare or therapy services
- Experience supporting clinical or highly specialized founders while owning operations
- Bilingual in English and Spanish
- Bachelor's degree preferred
- 5 years of progressive operations leadership or equivalent experience

- Ability to implement and drive adoption of scheduling and practice-management platforms

- Skilled at tracking and reporting operational KPIs
- Working knowledge of billing and collections processes in healthcare or therapy settings

WHAT SUCCESS LOOKS LIKE
- First 30 days: Learn the business deeply, build relationships with the founders and management layer, observe current systems and pain points across all sites.
- First 60 days: Establish ownership of the scheduling and admin team, set clear standards, and map the highest-priority gaps in systems and documentation.
- First 90 days: Drive platform adoption to completion, stand up the core meeting cadence, and roll out the first set of SOPs and performance-tracking processes.
- First 180 days: Operate the full HR and performance cycle on a defined rhythm, deliver leadership dashboards with live visibility, and enable the clinical leadership to step out of daily operations.
BENEFITS
- Compensation: $120,000 to $140,000 commensurate with experience
- Performance bonus opportunity based on operational outcomes and organizational growth

- PTO begins accruing immediately upon hire, can be used after 90 days, with 10 days available annually plus paid holidays.
