What are the responsibilities and job description for the Special Education/504 PEIMS/Administrative Secretary position at Springtown Independent School District?
Primary Purpose: Responsible for the accuracy of reporting special education funding codes at the District level to TEA and other agencies. Organize and manage the routine work activities of an administrative department office and provide clerical services to the department head and other staff members.
Qualifications:
Education/Certification:
- High school diploma or GED
Special Knowledge/Skills:
- Ability to maintain accurate and auditable records
- Ability to use personal computer and software to develop databases/spreadsheets
- Proficient typing, keyboarding, and file maintenance skills.
- Strong organizational, communication, and interpersonal skills
- Proficient skills in keyboarding, word processing, and file maintenance
- Effective communication and interpersonal skills
- Ability to use personal computer and software to develop spreadsheets and databases and do word processing
Experience:
- Three years clerical experience and secretarial experience, preferably in a public education environment
- Must read/maintain knowledge of PEIMS Manual/Student Attendance Handbook
Major Responsibilities and Duties:
Records, Reports, and Correspondence:
- Maintain physical and computerized records including student SPED/504/PEIMS documentation.
- Enter/Edit data for state and local FUNDING.
- Box and Store scanned records to be sent to the warehouse for destruction/storage. Prepare ‘Public Notice of Destruction’ and publish, in coordination with the director, the date of destruction.
- Prepare and collect data and enter Restraint coding and Childfind data for EGRANT Federal reporting.
- Assist diagnosticians/diag. clerks/related service personnel with preparing lists, labels, and reports for all district campuses to help with time sensitive deadlines for Evaluations and ARD meetings.
- Preparation of reports and student data information for VI Reports, DB Reports, DHH Reports, OCR Reports, Indicator Reports, Grant data and RF-Tracker report entry.
- Prepare data entry of student information for summer ESY services/funding.
- Maintain confidentiality of all department and student information.
- Prepare correspondence, forms, reports, etc., for the department head and other department staff members using a personal computer.
- Compile pertinent data as needed when preparing various state and local reports.
- Maintain physical and computerized departmental files.
- Maintain departmental records as needed.
- Other duties as assigned.
