About the Role:
The Administrative Assistant supports all activities of the department and performs various administrative functions during the course of their job duties. Work may be assigned by all department staff at various times, although they report to the Assurance and Business Advisory Department Head.
What You’ll Do:
- Demonstrate a clear understanding of the full workflow involved in preparing, producing, and finalizing an audit, review, or compilation.
- Show strong knowledge of the reports required to support the Department Head in effectively leading the audit team.
- Apply expert-level accuracy in formatting financial statements, client proposals, and firm correspondence.
- Use audit terminology and firm‑standard language correctly
- Track department involvement in civic/niche organizations and manage event registrations
- Resolve scheduling needs and conflicts proactively
- Assist with onboarding of new hires and interns
- Collaborate with audit staff and administrative assistants to meet deadlines
- Supervise Department Administrative Staff
- Produce, edit, and distribute documents using Word, Excel, and database tools (engagement letters, mail merges, billing reports, formatting to firm standards)
- Coordinate travel arrangements and prepare detailed itineraries; process related expenses
- Support project scheduling and maintain team calendar status
- Prepare presentations for client and firm needs
- Schedule continuing education for department staff
- Assist with invoice preparation and expense reconciliation
- Handle mail, faxes, and courier items
- Maintain the firm’s electronic filing system
- Provide backup support for errands and front desk phone coverage
- Identify opportunities to improve administrative support within the department
- Monitor departmental trends and update administrative practices accordingly
- Ensure administrative policies and procedures are documented, updated, and followed
- Partner with department staff to deliver seamless client service
- Complete required software and training programs
- Work for extended periods at a computer or standing during events
- Use fine motor coordination for office equipment; maintain verbal and auditory communication abilities
- Lift up to 10 lbs frequently and 20 lbs occasionally
- Navigate all areas of the firm’s facilities as needed
About You:
- Associate degree preferred; HS diploma/GED with equivalent experience accepted
- 2–4 years administrative or executive support experience
- Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint)
- Experience supporting multiple leaders
- Reliable transportation and valid driver’s license
- Strong attention to detail, organization, and follow‑through
- Able to prioritize multiple deadlines
- Clear, professional communication (written and verbal)
- Comfortable working with diverse personalities
- Strong grammar, spelling, and self‑review skills
- Maintains confidentiality and professionalism
- Dependable, adaptable, and eager to learn
