GENERAL PURPOSE

Responsible for providing a wide variety of complex and confidential administrative and clerical support including meal benefit application processing (manual, on-line, direct match, foster/homeless), maintaining supplies for the FRL processes, monitors and processes payroll, attendance and use of accruals as well as related financial activities using proper fiscal practices within the districts and department timelines. Works closely with key stake holders such as Human Resources, payroll and purchasing departments.

 

ESSENTIAL JOB FUNCTIONS

 

  • Knowledge of basic math, including calculations using fractions, percentages, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues, draw conclusions and create action plans.
  • Communicate effectively with staff, parents, students, and patrons of the district.
  • Provide support to the employee hiring process ensuring accuracy and maintaining data integrity.
  • Maintains and monitors attendance, PTO, exception time tracking for Student Nutrition team members.
  • Facilitates a positive and productive experience for new employees.
  • Communicate and monitor selection process and policy to hire employees, ensuring internal and external compliance.
  • Perform related duties as assigned ensuring the efficient and effective functioning of the work team.
  • Ability to read technical information and compose a variety of documents.
  • Communicate directly with job applicants for assigned vacancies determining eligibility for considerations of employment and providing customer service, which can include phone calls, emails, and office visits from candidates and employees.
  • Skill to perform multiple technical tasks with a need to routinely upgrade skills to meet changing job conditions.
  • Deals with non-routine matters requiring research, investigation or analysis, and knowledge of departmental issues and address appropriately.
  • Ability to communicate effectively and collaborate with internal and external stakeholders to accomplish District objectives.
  • Ability to work with a significant diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize job-related equipment.
  • Understands all systems wide, Federal, state, departmental and divisional organizations and applicable policies, procedures and regulations affecting departmental operations.
  • Researches, compiles, creates and distributes reports to the director and staff or other stakeholders as directed.
  • Independently and accurately prepares written materials and electronic financial information documenting activities, providing reference, conveying information, and complying with established Financial, legal and/or administrative requirements.
  • Answers inquiries regarding programs and services, conducts research as needed to provide accurate information explaining requirements and assisting callers in completing forms or other actions.
  • Maintains office or department records for program and process actions including those regarding procurement and fiscal matters.
  • Maintains confidentiality as required by the Board of Education policy and/or state or federal law.
  • Participate in required annual training for USDA or district programs as needed.
  • Help facilitate required annual training for district team members
  • Performs other duties as required / assigned.

QUALIFICATIONS AND REQUIREMENTS

Education and Experience

  • Minimum of five (5) years of job-related experience with increasing levels of responsibility is preferred.
  • High School Diploma or equivalent, required.

 

Certificates, Licenses and Other Special Requirements

  • Food Handlers Safety Certification, preferred.
  • Servsafe Certification, preferred.
  • Must have a Hepatitis A vaccination.
  • Must pass a Criminal Background Clearance, the results of which must be satisfactory to the District, required.
  • Possession of a valid Driver’s License, with evidence of insurability.

 

Knowledge, Skills, and Abilities

  • Knowledge of algebra and/or geometry; basic math skills and cash handling, ability to read and follow a recipe in English, read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues and draw conclusions.
  • Knowledge based competencies required to satisfactorily perform the functions of the job include safety practices and procedures; quantify food preparation and handling; and sanitation practices.
  • Skill to perform multiple, technical tasks with a need to routinely upgrade skills in order to meet changing job conditions.
  • Skill based competencies required to satisfactorily perform the functions of the job, including: adhering to safety practices; planning and managing projects; preparing and maintaining accurate records; operating standard office equipment and equipment found in a commercial kitchen; and using pertinent software applications.
  • Ability to schedule a number of activities, meetings, and/or events; gather, collate, and/or classify data; and use job-related equipment.
  • Ability to work with a significant diversity of individuals and/or groups.
  • Ability to analyze issues and create action plans.
  • Ability to collaborate and communicate effectively.
  • Ability to apply critical thinking/problem solving to improve work processes.
  • Ability to work as part of a team; analyze situations and make accurate decisions; work on multiple projects; and deal with frequent interruptions and changing work priorities.
  • Ability to adhere to safety practices; meet deadlines and schedules; work under time constraints; and communicate with diverse groups.

 

Working Conditions and Physical Requirements

  • Work environment is primarily inside, where the noise and temperature levels are moderate.
  • The work is sedentary work that requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects.
  • Must possess the physical ability to perceive the nature of sounds, make rational decisions through sound logic and deductive processes, express or exchange ideas by the spoken word, substantial movements (motions) with the hands, wrists, and/or fingers, and discern letters or numbers at a given distance. 
  • Additionally, the following physical abilities are required: balancing, climbing, crawling, crouching, feeling, grasping, handling, hearing, kneeling, manual dexterity, mental acuity, pulling, pushing, reaching, repetitive motion, speaking, standing, stooping, talking, visual acuity and walking.
