Work to maximize the exposure and demand for the Proven Winners ColorChoice Shrubs brand and Spring Meadow products by organizing, managing and coordinating events such as meetings, receptions, and parties. Manage purchases and distribution of promotional items, employee gear, and customer gifts. Assist the marketing team with mailings, cataloging media mentions, responding to comments on social media posts and ads, and monitoring and recording trademarks and patents. This full-time salaried position is based in our Grand Haven, Michigan office and reports to the Marketing Manager. Balance of work is approximately 35% event planning and 65% other marketing duties, over the course of a year.
Occasional travel may be required.
Primary Responsibilities:
- Coordinate on- and off-site events for Spring Meadow customers, guests, and employees
- Includes meetings, dinners, lunches, parties, office celebrations, and other events
- Works with team hosting the event for seamless execution and optimal guest experience
- Scout caterers and/or outside venues
- Purchase beverages, food service items, and decorations for events
- Review, evaluate, and develop ideas to improve events
- Keep office conference room stocked with beverages and other supplies for guests
- Coordinate with custodial crew for room arrangements and cleaning
- Communicate responsibilities to the relevant team and/or contractors for each event
- Arrange transportation and/or entertainment if requested
- Develop and deliver promotional marketing materials of various types
- Purchase customer gifts, giveaways, and promotional items.
- Order logo wear for employees and facilitate embroidery and/or printing
- Serve as main point of contact for special-order office items for the sales and marketing teams
- Welcome new hires
- Print and install cubicle name tags
- Coordinate business card printing with Custom Service Printing
- Assemble and distribute welcome packages
- Purchase Proven Winners ColorChoice name tags for new employees
- Manage the garden guest house scheduling and use
- Serve as main point of contact for all departments to book guests
- Purchase food and beverages for guest use at cottage
- Purchase other supplies for the cottage as required
- Coordinate cleaning after guests, as well as annual maintenance (window washing, etc.)
- Manage and execute mailings on behalf of the marketing department
- Maintain contact database for all marketing contacts
- Update contact database with address changes from returned marketing mailings and NCOA reports
- Enter consumer catalog requests
- Fulfill requests from consumers, universities, garden centers, etc.
- Coordinate bulk mailings where possible
- Order annual customer Christmas gifts
- Work with sales manager to select gift items
- Optimize mailing costs
- Order boxes and packaging for gifts
- Coordinate with sales support specialist for mailing items
- Coordinate with front office for daily mailing quantities
- Monitor patents and trademarks
- Record for reference
- Communicate updates to appropriate team members
- Supply specimens to attorneys when needed
- Assist with various projects as requested, including but not limited to:
- Ordering and distributing supplies to main and satellite offices
- Monitoring and responding to comments on social media posts and ads
- Create, write, and send the employee newsletter
- Assist in holding raffles and plant giveaways during the growing season
- Keep catalogs stocked in holders in lobby, conference center, and meeting rooms
- Request replenishment of stored material from shipping team

Knowledge and Skill Requirements:
- Well-organized, detail-oriented, and excellent communication skills. Computer literacy is a must, with a strong understanding of MS Office (Word, Excel, etc.), and good internet research skills. Experience with HubSpot a plus. Represent Spring Meadow Nursery and the Proven Winners plant brand in a positive and professional manner in all aspects of the role.
- Valid driver’s license
- Must possess the ability to lift, carry, or otherwise move 30 pounds
Performance Requirements:
- Must maintain a level of performance equivalent to company standards, that being a “Meets Expectations” in all areas of your performance evaluations (including but not limited to, Self and Management reviews).
- This position is expected to average 45 hours per week, with flexibility to accommodate business and operational needs, as well as periodic special projects.

Compensation & Benefits:
- Salary: Starting at $35,000 annually (not inclusive of total compensation package).
