Job Summary
The Medical Office Coordinator is responsible for providing high-quality administrative and patient support in a fast-paced acute care/hospital setting. This role serves as a key point of contact for patients, providers, and staff, ensuring efficient front-office operations, accurate record management, and excellent patient experience.
Key Responsibilities
Patient Interaction
- Greet patients in a professional and courteous manner.
- Check patients in and out while verifying demographic and insurance information.
- Assist patients with completing required forms and documentation.
- Direct patients to appropriate departments or services.
Scheduling & Coordination
Schedule patient appointments, consultations, and follow-up visits.
- Coordinate diagnostic tests and procedures with internal departments.
- Manage appointment calendars and handle rescheduling or cancellations.
Medical Records Management
Maintain, update, and manage Electronic Health Records (EHR) accurately.
- Ensure confidentiality and compliance with HIPAA and organizational policies.
- File, retrieve, and organize patient records as needed.
Billing & Insurance
- Verify insurance coverage and eligibility.
- Process billing information and insurance claims.
- Explain benefits, copays, and payment responsibilities to patients.
- Collect and post patient payments when required.
- Communication
- Answer incoming phone calls and respond to emails promptly.
- Relay information between patients, physicians, nurses, and external partners.
- Provide clear and professional communication at all times.
Office Operations
Order and maintain office and medical supplies.
- Ensure office equipment is functioning properly.
- Perform general clerical duties such as copying, scanning, and data entry. Staff Support
- Assist physicians and nursing staff with reports, documentation, and administrative tasks.
- Support daily workflow and contribute to team efficiency.
Required Qualifications
- High School Diploma (HSD) or GED
- Minimum of 1 year of experience in an acute care or hospital setting
- Current Basic Life Support (BLS) certification (AHA or ARC)
- Proof of flu vaccination (no declinations or exemptions)
Preferred Qualifications
- Bachelor’s degree in Healthcare Administration, Business Administration, or related field
