ROLE SUMMARY
In this role, you will oversee day-to-day administrative workflows, manage office resources and facilities, coordinate procedures, support scheduling, and ensure our team has what they need to operate smoothly and effectively. Your work will directly strengthen our mission by creating a seamless, efficient, and welcoming environment where our people can focus on delivering impact for the clients we serve.
RESPONSIBILITIES
Administrative Support:
- Manage office supplies, inventory, and vendor orders to ensure smooth daily operations
- Provide proactive scheduling support including meetings, appointments, and travel logistics for leadership and staff
- Maintain organized records, documentation, and administrative systems to support compliance and operational clarity
- Assist with ad hoc reporting and administrative needs
Facilities Management:
Support visitor management and appropriate office access
- Manage vendor relationships, contracts, and service scheduling to ensure a safe, efficient, and well-functioning office environment
- Oversee office maintenance needs, coordinating repairs and services with building management and external vendors
- Support office setup activities, workstation needs, and logistics in partnership with IT and HR
Communication and Coordination:
- Serve as a central communication hub, ensuring timely internal updates and supporting cross-team coordination
- Manage external correspondence with clients, partners, and vendors while upholding Sprezzatura’s professional standard
- Support company events, meetings, and operational initiatives to reinforce culture, connection, and team engagement
QUALIFICATIONS
- High School diploma is required; Associate or Bachelor’s degree preferred
- 3 years of experience in office management, administrative support, or operations roles
- Strong proficiency in the Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software, email tools, and databases
- Excellent organizational, time management, and multitasking abilities with a strong attention to detail and service-oriented mindset
- Exceptional written and verbal communication and interpersonal skills to effectively interact with all levels of staff and external contacts
- Strong problem solving and decision-making skills to quickly address issues and adapt to changing office needs
- SharePoint Editor/Engineer experience nice to have
WORKING CONDITIONS
Standard Business hours are Monday through Friday core hours in a professional office environment.
