JOB DESCRIPTION:
- The Plant Business Administrator serves as the primary on-site administrative and accounting support. This role supports accounting transactions, assists with month-end close activities, coordinates HR-related requests, and acts as the plant liaison to HQ. All policy decisions, approvals, and management authority remain with leadership.
JOB RESPONSIBILITIES:
- Assist in preparing monthly, quarterly, and annual plant financial statements, providing variance analysis as needed.
- Assist with month-end close processes, journal entries, and GL account reconciliations.
- Provide management with daily sales reporting.
- Reconcile daily bank postings and cash applications; supporting CS with Credit card payments
- Process and review vendor invoices, resolving discrepancies in a timely manner.
- Assist with cash disbursements and payment scheduling via weekly payment runs.
- Post daily customer invoices; uploading to various EDI platforms
- Prepare and maintain weekly AR Aging report and collection efforts.
- Monitor daily production variances and provide explanations to Finance Director.
- Partner with plant management to identify cost-saving opportunities and improve operational efficiency.
- Ensure compliance with internal controls, policies, and applicable regulations.
- Assist in annual audits and provide supporting documentation as required.
- Maintain accuracy of ERP system data for financial and operational reporting.
- Serve as local HR contact, supporting payroll processing, coordinating onboarding and offboarding with corporate HR, personnel documentation, and policy compliance.
- Provide first-level IT support for ERP and plant systems, coordinating with corporate IT as needed.
REQUIRED SKILLS/QUALIFICATIONS:
- Proficiency with ERP systems.
- Advanced Excel and data analysis skills.
- Strong problem-solving skills and ability to partner with operations.
- Excellent communication and organizational skills.
- Analytical mindset with attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Strong collaboration across Finance, HR, IT, and Operations.
- Proactive in identifying risks and process improvement opportunities.
- Experience processing payroll.
- Bachelor's Degree in Accounting, Finance or other business-related field.
- Must be able to maintain a high level of confidentiality.
PHYSICAL REQUIREMENTS:
- Prolonged periods sitting at a desk and working on a computer.
- Occasional lifting of office supplies (up to 25lbs).
