What are the responsibilities and job description for the Adult Education Program Assistant position at Spotsylvania County School District?
The Program Assistant for Adult Education provides administrative, clerical, and logistical support to the Adult Education office. This role ensures the smooth support of AdEd programs, including support for teachers, employers, and community partners. The assistant supports program documentation, scheduling, purchasing, financial, and compliance tasks to further adult skills, education, and workforce development programs.
Essential Job Functions:
- Maintains complete records of all financial transactions in a well organized financial filing system
- Establishes and coordinates the efficient operation of several account lines to include local and and 7 grant funds; monitors budget status
- Reconciles accounts and provides reports for the central office; maintains detailed records of expenditures; processes Invoices within terms of payment
- Balances MUNIS with SSWS in Omega
- Prepares & submits Reimbursement Requests to VDOE/VDOL grants which ensures compliance with grant guidelines
- Prepares Amendments to the adult education grants
- Prepares annual reports and records in compliance with auditor’s regulations
- Processes payroll for the Adult Education program for payroll location 400
- Maintains financial reports and provides information to leadership as requested.
- Communicates with vendors to secure and maintain supplies and equipment.; coordinates ordering, delivery, payment of program materials and supplies
- Prepares Purchase Orders for all purchases, invoices, and program expenses
- Processes new vendor information and submit to accounts payable
- Processes Professional Development reimbursements for all Adult Education staff
- Processes reimbursement for Adult Ed Staff; Prepares, submits, and processes local and conference travel expense claims for all individuals listed under the 400 location Adult Education

Education and Experience:
Required
- High School Diploma or GED
- Three (3) years of experience in a bookkeeping, accounts payable or related position
Preferred
- Associates Degree in Finance, Accounting or related field

Employment Terms: Employment may be offered as a 12-Month (243 Day), full-time position. The work schedule for this position is 7.5 hours worked per day, excluding lunch. This position is evaluated annually.
