INTRODUCTION:
Under the direction of the Facilities Director, the Facilities Projects Coordinator provides critical administrative, operational, and project management support to ensure the effective planning, execution, and reporting of departmental and cross-departmental projects. This position will assist with facility and maintenance project coordination, budget tracking, technology implementation, reporting, and support for special initiatives assigned to the Facilities Department by Tribal Administration. The coordinator will help establish efficient workflows, develop standard operating procedures, and implement process improvements and appropriate technology tools where beneficial to streamline operations
MAJOR DUTIES AND RESPONSIBILITIES:
- Reports to and follows the direction of the Facilities Director and complies with all Spokane Tribe policies and procedures.
- Supports coordination of facilities projects including scope development, scheduling, budgeting, and documentation management.
- Tracks project progress, expenditures, and funding allocations to ensure alignment with approved budgets and grant requirements.
- Assists with procurement processes, including preparation of bid documents, proposal tracking, contract documentation, and compliance records.
- Maintains organized project files including contracts, change orders, pay applications, certified payrolls, inspection reports, and closeout documents.
- Coordinates communication between contractors, consultants, Tribal departments, and external agencies. Prepares and maintains project documentation, reports, meeting minutes, schedules, and correspondence to support leadership decision-making and audit readiness.
- Reviews and tracks construction documents, scopes of work, and project deliverables for completeness and consistency.
- Prepares reports, meeting minutes, schedules, and correspondence to support leadership decision-making and audit readiness.
- Supports capital improvement planning and preventative maintenance tracking initiatives.
- Ensures compliance with applicable safety standards, grant requirements, and Tribal policies.
- Responds to urgent facility or project-related matters as directed.
- Performs other related duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED FOR POSITION:
- Work is primarily performed in an office environment with some travel to project or facilities sites.
- Must be able to sit for extended periods and operate a computer.
- May involve occasional evening or weekend work depending on project timelines.
- The position requires moderate physical exertion such as long periods of standing, repetitively lifting lightweight objects with frequent bending or stooping, recurring lifting of moderately heavy items such as computers, printers or record boxes. Occasionally lifts objects up to 25 pounds. The position requires average agility and dexterity.
MINIMUM QUALIFICATIONS:
- High School Diploma or GED.
- Must be at least 18 years of age.
- Experience with project coordination, budgeting, procurement tracking, or administrative support in a facilities, construction, or maintenance environment preferred.
- Strong organizational, written, and verbal communication skills, including the ability to prepare reports, maintain documentation, and manage records accurately.
- Proficiency in Microsoft Office 365 applications, including Excel, Word, Outlook, and Teams.
- Experience or demonstrated interest in digital work order systems, workflow management tools, or process improvement initiatives is desirable.
- Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
- Ability to maintain professionalism and confidentiality when handling sensitive project or departmental information.
- Must have a valid driver's license and a good driving record.
PREFERRED QUALIFICATIONS:
- Experience in tribal government, public sector, or federally funded projects.
- Familiarity with project management software (e.g., Smartsheet, Asana, Trello, Microsoft Planner) and digital workflow systems.
- Experience supporting public procurement processes preferred.
- Experience supporting grant-funded projects and understanding compliance requirements (e.g., HUD, ICDBG, Davis-Bacon, BIA, or similar funding sources).
- Basic knowledge of facilities management, construction processes, or building systems.
- Ability to read and interpret basic construction drawings, specifications, or scopes of work.
- Experience coordinating with contractors, consultants, and internal stakeholders.
