Overview
We are seeking a highly organized, fast-paced, and proactive Executive Assistant to support our CEO. This role is central to ensuring smooth operations, clear communication, and efficient execution across the executive office. The ideal candidate thrives in dynamic environments, has a strong sense of urgency, and can anticipate needs before they arise.
Key Responsibilities
Slack & Communication Management
- Field inquiries from team members on Slack, filtering and escalating to the CEO as needed.
- Add new hires and promoted employees to appropriate Slack channels.
- Ensure clear and timely communication between the CEO and team members.
Document & Meeting Support
- Build, update, and maintain meeting agendas; ensure all topics are captured.
- Sit in on meetings to track action items, decisions, and updates.
- Relay information and follow-ups to the appropriate team members.
- Draft internal communications, summaries, or memos as required.
Calendar & Scheduling
- Manage the CEO’s calendar with accuracy, ensuring visibility for the team.
- Schedule meetings, create invites, and coordinate across time zones.
- Join meetings on behalf of the CEO when they are unavailable due to travel or other priorities, and provide comprehensive summaries.
Travel & Logistics
- Book flights, hotels, and ground transportation.
- Re-book or cancel travel as priorities shift.
- Support logistics for in-person meetings, retreats, and events.
Operations & Organization
- Maintain and organize the company’s shared drive for easy access and alignment.
- Update and manage the organizational chart when new hires join or roles change.
- Monitor and triage CEO emails, flagging priority messages.
- Execute special projects and initiatives as assigned.

- Based on EST in New York City timezone.
- Willingness to travel when required.

Salary: $70,000-80,000, commensurate with experience
