Spilman Thomas & Battle, PLLC, seeks an experienced corporate Legal Assistant in its Charleston WV office. The ideal candidate will have experience in corporate transactions including real estate, mergers and acquisitions, and estate planning. The position requires the ability to perform duties of a responsible and confidential nature, to organize and expedite workflow of attorneys. Maintains positive contact with clients, attorneys and staff and observes confidentiality of client matters. estate planning and trust experience, be adept at general administrative tasks and possess excellent computer and organizational skills.
Responsibilities include (but are not limited to):
- Prepares legal documents and correspondence from draft or dictated text (transcription)
- Maintains client and firm files; opens and closes files according to firm guidelines procedures, ensuring all files are maintained electronically using document management system (iManage)
- File / e-file documents with courts and/or agencies
- Manages attorneys’ calendars, coordinates meetings, schedules conference rooms, and makes travel arrangements as required
- Answers telephone calls, recording and delivering messages promptly
- Types and submits attorney time entries
- Interacts and coordinates with attorneys, staff, clients, courts and vendors to schedule and coordinate appointments
- Provides back-up support to other legal staff as needed
Qualifications:
- Efficiently manage appointments and meetings using calendaring systems
- Three plus years' legal experience (corporate, estate planning; estate and trust administration)
- Knowledge of state and federal court rules (including e-filings)
- Excellent planning, organizational and attention-to-detail skills
- Proficient in Word, Excel, Outlook and Elite (or other comparable time entry software) and document management systems (iManage)
- Proficient in transcription of dictation
- Ability to effectively and efficiently manage multiple projects and competing deadlines
- Ability to work in a fast-paced environment, adapt to changing priorities, and remain flexible to meet client and attorney needs
- Exhibit strong work ethic and demonstrate ability to take initiative and anticipate what needs to be done while understanding and following specific, detailed instructions
- Excellent communication skills
- Willingness to learn and develop skills
- Prefer Legal Secretary or Paralegal degree
