Senior Bookkeeper & Office Administrator
Spicola Construction – Carrollwood, FL
Full-Time | Salaried Position | In-Office
Spicola Construction is a growing construction company in the Carrollwood area seeking a senior-level Bookkeeper & Office Administrator to take ownership of our financial operations and core office administration.
This role is ideal for someone who is highly organized, experienced in construction bookkeeping, and comfortable working directly with the owner in a small-team environment. You will be a key player in keeping the company financially sound and operationally organized.
Primary Responsibilities – Bookkeeping
- Accounts Payable and Accounts Receivable
- Weekly payroll processing (non-union)
- Progress billing / AIA billing
- Bank and credit card reconciliations
- Monthly financial statements and reporting
- Sales tax and use tax filings
- 1099 preparation and W-9 management
- Coordination with CPA at year-end
- Maintain accurate records in QuickBooks
Office Administration & Internal Support
- Track employee PTO and maintain employee records
- Manage and update employee handbook and internal policies
- Coordinate onboarding for new employees (paperwork, setup, orientation support)
- Serve as internal point of contact for administrative and office-related needs
- Help improve and maintain internal processes and organization
What We’re Looking For
- Senior-level bookkeeping experience (construction industry experience strongly preferred)
- Strong working knowledge of QuickBooks
- Ability to manage multiple responsibilities independently and accurately
- Detail-oriented, dependable, and proactive
- Comfortable working directly with the owner
- Someone who brings structure, clarity, and follow-through to the role
