Qualifications
Education & Experience
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
- Minimum 3–5 years’ experience in bookkeeping, accounting, or office management (experience in an architectural, engineering, or construction firm strongly preferred).
Technical Skills
- Proficiency with accounting software (QuickBooks, Deltek Ajera, or similar).
- Strong knowledge of MS Office (Excel, Word, Outlook) and ability to adapt to project management platforms.
- Familiarity with AIA contracts, billing formats, and project-based accounting is a plus.
Financial & Administrative Skills
- Solid understanding of accounts payable, accounts receivable, payroll, and bank reconciliations.
- Experience preparing monthly financial statements and assisting with year-end reporting.
- Ability to track project budgets, invoices, and consultant payments accurately.
- Skilled in managing vendor relationships, insurance certificates, and licensing renewals.
Organizational & Communication Skills
- Excellent attention to detail and strong organizational skills.
- Ability to multitask, prioritize deadlines, and manage day-to-day office operations.
- Strong written and verbal communication skills for interaction with staff, clients, and consultants.
Office Managerial Skills
- Order & keep supplies stocked.
- Keep kitchen in order.
- Maintain communication with cleaning crew.
- Answer phone
- Keep Calendar updated, i.e. birthdays/events/vacations/continuing education scheduling
- Schedule monthly birthday celebrations for the staff
- Sort & distribute mail (slice open envelopes for partners)
- Process biweekly payroll
- Knowledge of 401K rules and reporting

- Interest or experience in the architecture/design/construction industry is a plus.
