The Transportation Assistant is responsible for coordinating vehicle transportation, maintaining accurate records, communicating with carriers and internal teams, and ensuring timely, complaint, and cost-effective movement of vehicles to and from the auction lot.
Key Responsibilities
- Coordinate inbound and outbound vehicle transportation for auction events, dealer transfers, and customer deliveries
- Schedule, track, and confirm vehicle shipments with approved transportation carriers
- Serve as a point of contact for carriers, dealers, buyers, sellers, and internal auction staff regarding transportation status, supporting the Transportation Manager.
- Maintain accurate transportation records, including bills, invoices, titles, condition reports, and delivery confirmations
- Monitor vehicle delivery timelines and proactively resolve delays, damages, or service issues
- Verify transportation charges, reconcile invoices, and assist with billing discrepancies
- Ensure compliance with company policies, DOT regulations, and carrier insurance requirements
- Update transportation management systems and auction software with real-time status information
- Assist with carrier onboarding, performance tracking, and service quality reviews
- Support auction day logistics by coordinating vehicle flow and transportation needs
- Respond to transportation-related inquiries and provide timely customer service
Qualifications Required:
- High school diploma or equivalent
- 1β3 years of experience in transportation, logistics, automotive operations, or auto auction environment preferred
- Knowledge of vehicle transportation methods (open, enclosed, drive-away) and carrier operations
- Proficiency in Microsoft Office and transportation or auction management systems (Edge Auction OS, etc.)
- Ability to multitask and work in a fast-paced, deadline-driven environment; exceptional attention to detail and quality standards
- Basic understanding of vehicle titles, condition reports, and auction processes preferred
- Strong written and verbal communication skills with the ability to interact professionally with staff, customers, and vendors
