The Role: Data Operations Coordinator
We are seeking a highly motivated and process-driven Data Operations Coordinator to serve as the essential bridge between our digital systems and our physical fulfillment centers.
This is a hands-on role—it goes beyond simple data entry. You will be the guardian of the data that dictates driver routes, warehouse sorting logic, and on-time client delivery. You must be comfortable stepping onto the warehouse floor to collaborate directly with fulfillment teams when data integrity issues arise.
Key Responsibilities & Operational Impact
Your primary focus is ensuring data quality supports the flawless physical flow of goods across the first, mid, and last mile.
1. Data Accuracy & Warehouse Operations
- Ensure shipment data integrity from client pickup through sorting and dispatch.
- Audit and verify sortation manifests, routing files, and dispatch lists to align system data with physical parcel flow.
- Support inventory reconciliation by identifying data mismatches between system records and physical counts.
- Collaborate with warehouse and dispatch teams to resolve data discrepancies affecting routing, labeling, or handover accuracy.
2. Tracking, Analysis & Exception Resolution
- Proactively monitor shipment lifecycles across multiple systems, investigating anomalies that impact on-time delivery or client visibility.
- Clean and validate carrier integration data to ensure smooth reporting and tracking consistency across systems.
- Analyze recurring exceptions (e.g., mis-sorts, undelivered freight) and provide data-driven recommendations to reduce rework and delay rates.
3. Process Automation & Continuous Improvement
- Use Excel (advanced formulas) and Python to automate recurring reporting or reconciliation workflows.
- Conduct system audits of service zones, routing tables, and time windows to maintain data governance.
- Partner with Operations and QA teams to refine and document Standard Operating Procedures (SOPs) for data handover, sorting logic, and route validation.
- Generate operational performance reports and dashboards (Power BI / Tableau preferred) highlighting key KPIs such as sorting speed, delivery failure rates, and driver productivity.
Skills & Qualifications
Core Requirements for Operational Success
- Bachelor’s degree in a STEM field (Data Science, Engineering, Mathematics, Computer Science, or related) or above.
- Strong analytical and problem-solving mindset with proven ability to maintain accuracy in fast-paced, high-volume environments.
- Advanced Excel skills (pivot tables, lookup functions, data cleaning); experience with Python is a plus.
- Clear communication skills — able to explain data issues and resolutions to non-technical warehouse or dispatch staff.
- Experience in logistics, warehousing, or last-mile delivery operations preferred.
Key Differentiators (Bonus Skills)
- Experience building simple dashboards or visual reports using Excel or Power BI.
- Understanding of data-driven process optimization in logistics or supply chain environments.
- Proficiency in Chinese is a plus for internal and external partner coordination.
