Time Keeper / Hiring Coordinator – Gonzales, Louisiana
We are looking for an Office Timekeeper/Hiring Coordinator who will be responsible for maintaining proper communication and documentation between the project team and field.
Key Functions and Responsibilities:
· Record employee as on-site and complete the onboarding process
· Complete I-9 and E-Verify within 72 hours of employee being hired
· Accurately track hours worked as well as lunch and rest periods
· Accurately enter hours worked as well as other costs/expenses into TRACK.
· Generate client daily time sheets, audit sheets, head counts, and obtain client approval signatures on time sheets and invoices.
· Submit weekly time summary sheets to payroll.
· Assist with any payroll corrections.
· Reach out to candidates about jobs that are available
· Set employees up for classes and drug screens
· Communicate daily with project managers about their manpower changes
· Send in-bade request for new employees
· Make sure DISA/FAST is up to date and accurate as can be
· Send plant directions, onsite contacts, start time, etc. for each job
· Keep manpower “Excel” up to date daily
Education & Experience:
Required
· High school diploma or equivalent required.
· Excellent verbal communication skills.
· Excellent interpersonal and customer service skills.
· Proficient knowledge of Client Programs (SAP, CCTS. TRACK, Atlas, etc.).
· Basic understanding of administrative and clerical procedures and systems.
· Microsoft Suite (Word, Excel, Power Point, SharePoint)
· Exceptional customer service skills; strong sense of urgency and desire for excellence.
· Ability to respect the confidential nature of human resources work
Preferred
· Demonstrated experience as a timekeeper or in related clerical positions.
· 6-12 months of experience with hiring for turnarounds.
· Knowledge of the refinery and petrochemical industries.
· Knowledge of safety council websites.
· Knowledge of DISA
Plus
· Microsoft Power Products (Power BI, Power Automate, Power Apps).
· Viewpoint Vista
Physical Requirements:
· Prolonged periods of sitting at a desk.
· Must be able to lift up to 15 pounds at times.
Note: A test will be given to assess candidates' proficiency in Microsoft Office Suite as part of the selection process.
