Job Title: Management Information Systems (MIS), Individualized Education Program (IEP) and Records Clerk

Rate of Pay: According to USD 261 Classified Rate of Pay Scale
Job Summary:
The MIS, IEP, and Records Clerk will provide clerical support in the area of student data
and reporting to assist with the efficient operation of the special services programs. The
clerk will work closely with certified staff, support staff and administrators.
Qualifications and Requirements:
1. High School diploma or equivalent.
2. Computer skills.
3. Working knowledge of office equipment.
4. Telephone skills.
5. Maintain current TB testing as required by Health Department regulations (after
employment offer is made).
Performance Responsibilities:
1. Provide office and clerical support to ensure the smooth operations in the Special
Education Department.
2. Answer phone and route messages and correspondence appropriately in order to
provide appropriate public relations.
3. Prepare reports for staffing and /or meetings for the purpose of ensuring that the
appropriate information is being conveyed.
4. Maintain a working knowledge of special education paperwork.
5. Maintain a working knowledge of the Individualized Education Plan system used in the
district and responsible for the system administrator changes for each year.
6. Responsible for Move-in and Exit documentation within the IEP system.
7. Responsible for updating communication to staff through the IEP system.
8. Receive, process, and distribute special education record requests for the purpose of
maintaining current student information.
9. Manage records to review and destroy outdated files.
10. Develop and maintain district MIS manual annually.
11. Maintain MIS information on all students for the purpose of maintaining all current
information with the State.
12. Responsible for accurate data entry into the KSDE MIS system.
13. Responsible for the paperwork required for MIS reports.
14. Responsible for assisting the Board Clerk in the Directory and Building data entry for
special education the state.
15. Input all IEP data correctly and submit correction requests to certified staff for the
purpose of accountability for state required IEPs.
16. Responds to IEP and MIS related questions from providers and special education staff.
17. Inputs data for specific Indicator state reporting related to the State Performance
Plan/Annual Performance Report throughout the year.
18. Attend meetings and inservice presentations for the purpose of acquiring and/or
conveying information relative to job functions.
19. Maintain a high level of confidentiality regarding student and staff information in order to
remain in compliance with legal requirements and to maintain a professional work
environment.
20. Perform other duties as assigned for the purpose of ensuring the efficient and effective
functioning of the work unit.
