PRIMARY PURPOSE:

 

To facilitate the efficient and effective operations of the Special Programs Central Office and provide clerical services to the Director and other staff members.

 

QUALIFICATIONS:

 

Education/Certification:

High school diploma or GED

Related college courses preferred

 

Special Knowledge/Skills:

Proficient skills in typing, word processing, spreadsheets and dictation methods

Good people and telephone skills

          Knowledge of Texas Education Agency PEIMS requirements and reporting procedures.

          Working knowledge of IDEA, Section 504, FERPA, and state Special Education regulations.

Strong organizational, analytical, and problem-solving skills.

Ability to communicate effectively with administrators, campus staff, parents, and state    agencies.

Ability to maintain strict confidentiality and accuracy when working with sensitive student information.

 

Experience:

One to three years of secretarial experience, preferably in a public-school environment

 

Major Responsibilities and Duties

 

PEIMS/Data Management

  1. Maintain the accuracy and integrity of all Special Education and Section 504 PEIMS data within the district Student Information System (SIS) in accordance with Texas Education Agency (TEA) requirements.
  2. Serve as the primary individual responsible for entering, updating, and maintaining Special Education and Section 504 records in the SIS, ensuring all required coding is accurate and completed in a timely manner.
  3. Verify and maintain student demographic, instructional setting, service, disability, instructional arrangement, transportation, and program participation data to ensure compliance with state and federal reporting requirements.
  4. Review, audit, and reconcile PEIMS data regularly to identify discrepancies and ensure accurate state reporting and funding.
  5. Generate, review, and distribute monthly, six-week, semester, and annual PEIMS verification reports for Special Education and Section 504.
  6. Collaborate with campus and district staff to resolve PEIMS coding errors prior to submission deadlines.
  7. Assist with all PEIMS submissions, resubmissions, data validations, and audits related to Special Education and Section 504.
  8. Maintain documentation supporting PEIMS coding and reporting requirements for audit purposes.

 

 

Student Records and Compliance

  1. Process referrals, transfers, homebound placements, and student enrollment changes in collaboration with diagnosticians, evaluation staff, campus personnel, and administrators.
  2. Enter and maintain ARD committee decisions related to eligibility, services, instructional arrangements, related services, transportation, ESY, graduation plans, and other required PEIMS elements.
  3. Verify that Special Education and Section 504 coding align with current ARD/Section 504 Committee documentation.
  4. Monitor timelines to ensure data entry occurs promptly following ARD meetings and Section 504 meetings.
  5. Maintain confidential student records in compliance with FERPA, IDEA, Section 504, and district policies.

 

Administrative Support

  1. Maintain organized electronic and paper records related to Special Education and Section 504 reporting.
  2. Perform filing, record maintenance, correspondence, and other clerical duties as assigned.
  3. Assist with departmental projects, audits, and data requests.
  4. Perform other duties as assigned by the Director of Special Programs or designee.

  • Prolonged sitting and computer use.
  • Frequent repetitive hand motions and keyboarding.
  • Occasional standing, walking, bending, reaching, and lifting files or office materials up to approximately 25 pounds.
