Job Title: Admin Asst to Special Education

Primary Purpose:
Work under minimum supervision to provide advanced clerical services to the special education personnel while ensuring confidentiality and accuracy of all documentation related to special education services.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Proficiency in keyboarding and file maintenance
Ability to use software to develop spreadsheets, databases, and do word processing
Excellent organizational skills
Effective communication and interpersonal skills
Experience:
Three years of clerical experience in a public-school setting preferred
Major Responsibilities and Duties:
Clerical Support
1. Maintains campus documentation on Special Education student’s records.
2. Processes T-Rex requests when releasing Special Education student records to other school districts.
3. Provides requested special education student records as per the Federal Privacy Act to parents or agencies.
4. Inputs student data as applicable.
5. Routes initial and re-evaluation referrals to lead appraisal staff or speech therapist for testing.
6. Creates audit and school folder from the referral data base.
7. Processes and maintains data base with information on referral, assessment and ARD process throughout the district.
8. Preserves eligibility folders in proper order by sections and files by prescribed department system.
9. Maintains filing system on active and inactive student.
10. Updates inactive data base as needed.
11. Provides all Child Find information for SPP 11 & SPP 12 applications to Director through the referral data base.
12. Assists in preparation for parent training.
13. Maintains ESY records and forms.
14. Maintains end of the year procedures
15. Submits referrals to lead appraisal staff and speech language pathologist for testing.
16. Collects and maintains data for the Residential Facility Tracker and State Performance Plan.
17. Assists staff as needed.
18. Assists the summer help to prepare inactive folders to meet the TEA seven-year requirement.
Policy, Reports, and Correspondence
19. Compile pertinent data used to prepare various required state and local reports.
20. Compile, maintain, and file all reports, records, and other documents as required.
Other
21. Comply with policies established by federal and state laws and regulations, and local board policy.
22. Maintain confidentiality.
23. Follow district safety protocols and emergency procedures.
24. Performs other duties as may be assigned by the Director of Special Education or designee.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hours; occasional districtwide travel
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
