About The Role
We're looking for a dependable, detail-focused Customer Service Administrator to join our Distribution Customer Service team in Hauppauge on a temporary to potential hire basis. This role keeps our order process running smoothly behind the scenes. You'll monitor daily reports, confirm ship dates and order details, and keep customers and internal team members informed by phone and email. The work is fast-paced and transactional, and accuracy matters. Your work directly frees up our customer service reps to focus on taking care of customers on the phone.
You'll start with a hands-on training period of about two months alongside experienced team members, using step-by-step guides built for this role. No prior flooring knowledge is needed. We'll teach you the systems and the process. Strong performers in this role may be considered for long-term opportunities.

What You'll Do
- Run and review credit hold reports several times a day, confirm orders are coded correctly, and follow up with customer service reps when updates are needed
- Sort and filter the daily backorder report, check ETAs, and confirm ship dates are accurate
- Send ETA notifications to customers, along with revised ETAs when orders are delayed
- Review manufacturer confirmations on direct ship orders and check that costs, materials, quantities, and colors match the order
- Communicate ship dates and revisions to customer service reps and document updates in customer orders
- Make outbound calls and send emails to customers with order updates
- Order office and kitchen supplies for the team
- Support additional territories as the role grows
What You Need
- Comfort making phone calls and speaking with customers
- Strong written communication skills, especially professional email
- High attention to detail. You catch the small things before they become big things
- Comfort working on a computer throughout the day and willingness to learn new systems
- Availability to begin training in November and commit through the full assignment
- Ability to work onsite in Hauppauge, NY, Monday through Friday, 8:00 AM to 5:00 PM
- Office or administrative experience
- Working knowledge of Microsoft Word, Outlook, and Teams
- Excel experience, including sorting and filtering spreadsheets
- Experience with order entry, an ERP system, or report-based work
- Background in customer service, distribution, or building materials
