Responsibilities
- Greet visitors, clients, and staff warmly, providing exceptional customer service and professional phone etiquette.
- Manage multi-line phone systems efficiently, directing calls accurately and taking detailed messages when necessary.
- Handle front desk duties such as scheduling appointments, maintaining calendars, and managing visitor sign-in procedures.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of office records.
- Support office management tasks including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software.
- Assist with administrative support tasks such as calendar management, appointment scheduling, and personal assistant duties as needed.
- Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and presentations.
Requirements
- Proven experience in office management or clerical roles with strong organizational skills.
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools.
- Prior experience in customer service or reception roles, preferably in medical or dental settings.
- Bilingual abilities are highly valued to serve diverse populations effectively.
- Strong phone etiquette skills with experience managing multi-line phone systems.
- Ability to handle data entry accurately with good typing speed and attention to detail.
- Knowledge of office procedures such as filing, proofreading, and calendar management.
