Role & Responsibilities
- Manage complex executive calendars, prioritize meetings, and coordinate cross-team scheduling across multiple time zones.
- Coordinate travel logistics and prepare detailed itineraries, including vendor/site visits and client meetings.
- Process and reconcile executive expense reports; prepare and submit invoices and reimbursements accurately and on time.
- Prepare executive-level communications, agendas, presentations, and reports; maintain organized digital filing and document control.
- Act as primary liaison with field teams, subcontractors, and vendors to track follow-ups, meeting outcomes, and action items.
- Support ad-hoc projects and operational initiatives—track progress, escalate risks, and ensure timely completion.
Must-Have
- 3 years experience providing executive-level administrative support or equivalent demonstrable experience.
- Proficiency with Microsoft Office suite (Word, Excel, PowerPoint) and calendar tools (Outlook/Exchange).
- Experience managing travel bookings and complex itineraries for senior leaders.
- Experience preparing and reconciling expense reports and managing vendor invoices.
- Strong written and verbal communication with high attention to detail and discretion handling confidential information.
- Ability to work remotely and reliably during core U.S. business hours (New York time) with strong time-management skills.
- Prior experience supporting leaders in construction, trades, or project-driven firms.
- Familiarity with project management or construction tools (e.g., Procore, Buildertrend) and CRM platforms.
- Experience with cloud collaboration tools (Google Workspace, Slack, Zoom) and basic bookkeeping or QuickBooks exposure.
