The first voice a patient hears on the phone, the first person who welcomes them through the door, and the person who helps keep the office moving throughout the day all play a major role in the success of our patients and our team.
We are looking for a Patient Experience Coordinator who is friendly, confident, organized, dependable, and able to think on their feet.
This is not a position for someone who simply wants to sit behind a desk and answer phones.
This person is the heartbeat of the patient experience.
You will help patients feel welcome, answer questions, solve problems, coordinate a busy office flow, communicate financial information, and help our clinical team stay focused on providing excellent care.
Who We Are Looking For
The right person for this role is naturally good with people but also understands that great customer service requires more than being friendly.
You should be able to:
- Communicate clearly and confidently with patients in person, over the phone, through text, and by email.
- Answer questions or know how to quickly find the correct answer.
- Stay calm and solve problems when things do not go according to plan.
- Greet people warmly and create a positive first impression.
- Manage several responsibilities at once without becoming overwhelmed.
- Understand priorities and recognize what needs immediate attention and what can wait.
- Help manage the flow of a busy healthcare office.
- Have professional and comfortable conversations about payments, balances, treatment plans, and financial policies.
- Learn new technology and confidently work with computers, scheduling software, email, and office systems.
- Communicate well with doctors, providers, and teammates.
- Follow through on responsibilities without needing constant reminders.
- Pay attention to details while still seeing the bigger picture.
- Handle difficult conversations professionally and respectfully.
- Protect patient privacy and maintain professionalism at all times.
What the Role Includes
Your responsibilities may include:
- Welcoming and checking in patients.
- Managing patient check-out.
- Answering and directing phone calls.
- Scheduling and confirming appointments.
- Responding to patient questions.
- Communicating with patients through phone, text, and email.
- Collecting payments and discussing account balances.
- Explaining office policies and basic financial information.
- Keeping the daily schedule organized and flowing efficiently.
- Recognizing scheduling problems before they become bigger problems.
- Communicating delays, changes, or concerns to the appropriate team member.
- Maintaining accurate patient information.
- Assisting with office organization and administrative responsibilities.
- Supporting patient events, educational programs, and clinic promotions.
- Helping create an exceptional experience from the moment a patient contacts Sozo through the completion of their visit.
