Overall Function:
Provides administrative, clerical, and program support to Protective Services staff. This position assists with documentation, case coordination, client communication, and overall program operations.
Essential Functions:
- Prepare, maintain, and organize case files, reports, and required documentation in accordance with program policies and state regulations.
- Assist with data entry into the program management system; ensure accuracy, confidentiality, and timely updates.
- Answer and respond to telephone calls, emails, and walk-in inquiries; provide appropriate information or direct to the appropriate staff member.
- Assist with scheduling home visits, interviews, and meetings for investigators.
- Assist staff members with filing and other administrative tasks.
- Other duties as required.
- Adheres to all policies, laws, regulations, and codes of ethics and confidentiality as outlined by federal and state laws, and agency policies and procedures.
- At least 1-2 years of administrative or program support experience or the equivalent combination of experience and training, as determined by the agency,
- Knowledge of general office procedures, including interpersonal skills and telephone interaction.
- Demonstrated proficiency on a typewriter and/or computer keyboard.
- Excellent communication, organization, and ability to multitask.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Must successfully obtain clearances from the PA State Police, Child Abuse Clearance from the PA Department of Human Services, and FBI Fingerprint Clearances, as required.
- Must not be excluded from participation in Medicare, Medicaid, or any other federal health care program.
- Ability to sit for long periods of time during the workday.
- Ability to operate a keyboard and multi-line telephone simultaneously, with a high degree of accuracy.
