POSITION SUMMARY: Southview Design is seeking a Human Resource Coordinator to perform administrative tasks and provide services that support the effective and efficient operations of the organization’s Human Resources department. This role serves as a key point of contact for employees and candidates, delivering a high level of internal customer service while handling confidential information with professionalism and discretion. The ideal candidate must be bilingual in English and Spanish and comfortable supporting a diverse, field-based workforce.

Job Duties And Responsibilities
- Maintain the integrity, accuracy, and confidentiality of all human resource files and records.
- Serve as a primary customer service contact for employees and supervisors, responding to HR-related questions regarding policies, procedures, payroll timing, onboarding, and general employment inquiries in a timely, courteous, and professional manner.
- Review weekly time records in project management software (Aspire) for completeness and accuracy; submit hours to corporate and temporary payroll teams timely for processing.
- Post job openings, schedule interviews, process background checks and drug screens, and assist with the hiring process while ensuring a positive and service-oriented candidate experience.
- Prepare new hire and rehire paperwork and onboarding materials for hourly field staff, ensuring employees feel welcomed, informed, and supported from day one.
- Communicate clearly and effectively with employees in both English and Spanish, ensuring understanding and appropriate follow-up.
- Aid in creating and/or updating job descriptions with direction or assistance from the Leader of Human Resources.
- Assist with guest worker program facilitation, providing guidance and support to employees throughout the process.
- Facilitate employee engagement and recognition activities; handle employee relations matters such as births, bereavement, and recognitions with empathy, professionalism, and discretion.
- Acquire, distribute, troubleshoot, and coordinate changes with company-issued cell phones and tablets; provide training and ongoing support on required operating systems.
- Assist with the maintenance of driver qualification files through a third-party SaaS vendor, ensuring all required documentation remains current, accurate, and compliant.
- Oversee the purchase, storage, distribution, and inventory of company apparel, responding promptly to employee needs.
- Collaborate with HR leadership and internal teams to resolve issues, escalate concerns appropriately, and continuously improve the employee service experience.
- Perform additional duties as assigned; responsibilities and tasks may change as business needs evolve.
- Strong organizational and administrative skills with high attention to detail
- Excellent verbal and written communication skills
- Strong customer service mindset with the ability to professionally support employees at all levels of the organization
- Excellent interpersonal skills with the ability to handle sensitive and confidential matters with professionalism, tact, and discretion
- Proficient in Microsoft Office Suite and HRIS software (Workday preferred)
- Bilingual in English and Spanish (required)
- High school diploma or equivalent required
- Prior related office or human resources experience preferred
- Primarily an administrative role requiring extended periods of sitting
- Ability to lift up to 20 pounds
- Flexibility with schedule required; crews operate between 6:00 a.m. and 8:00 p.m. and the role may require early morning or late afternoon hours as needed
