Reporting to the Director of Student Success Services, the Administrative Assistant provides high-level administrative and clerical support to the Student Success Services department. This role ensures the smooth operation of departmental functions by managing records, supporting staff, and serving as a point of contact for parents, teachers, and outside partner agencies.

General Responsibilities/Essential Functions
- Provide administrative support to the Student Success Services Director, coordinators, teachers, and related service providers.
- Prepare, proofread, and distribute correspondence, reports, and documents related to services.
- Maintain student records, and other confidential documents
- Schedule parent conferences, and departmental events for the Director
- Manage phone calls, emails, and inquiries from staff, families, and external agencies; provide accurate information or direct to appropriate personnel.
- Track deadlines and timelines to ensure compliance with the SC Educational Oversight Committee and documentation requirements for grants
- Enter and update data in mySCS, and spreadsheets
- Maintain student records
- Assist in preparing reports for administrative purposes
- Order, organize, and maintain office supplies and instructional materials
- Provide support for professional development activities, training sessions, and workshops
- Secure substitutes for SSS teachers when absences occur, including:
- Communicating absences and substitute assignments with relevant teachers, administrators, and staff.
- Maintaining accurate records of substitute usage and schedules.
- Ensuring lesson plans, testing materials, and accommodations are available for substitutes as needed.
- Perform other duties as assigned to support the effective operation of the department.
- Must be a born-again believer in Jesus Christ; be involved with an evangelical, protestant church of like faith and practice; and agree with the philosophies, Mission, Vision, Values, Biblical Beliefs, Statement of Faith of Southside Christian School and Statement of Christian Life Commitment of Southside Christian School.
- Must be willing to enroll eligible children at Southside Christian School.
- Must be able to articulate a deep understanding of a biblically informed philosophy of Christian education.
- High school diploma or equivalent (associate's degree preferred).
- Previous administrative or clerical experience (experience in a school or special education setting preferred)
- Strong organizational, time management, and multitasking skills
- Excellent verbal and written communication abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with student information systems/databases
- Ability to handle confidential information with discretion
- Knowledge of special education terminology (preferred but not required)
- Strong interpersonal skills with the ability to work collaboratively with diverse groups
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
