About the Role
The Patient Services Representative (PSR): Health Information Coordinator is a vital team member dedicated to optimizing patient experiences through accurate health information management and administrative support.
In this role, you will help ensure provider orders are completed on time, patient charts are fully prepared ahead of appointments, and critical medical information is organized and accessible. Your work directly supports both patient outcomes and clinic efficiency.
What You’ll Do
Health Information & Order Management
- Monitor provider orders within the Electronic Health Record (EHR) system.
- Remind patients of upcoming orders due prior to appointments via text service or MyChart.
- Ensure required orders are completed before patient visits.
- Communicate with scheduling staff if appointments need to be adjusted.
- Document patient communications accurately in the EHR.
- Route clinical questions to appropriate staff.
Medical Records & Document Management
- Prepare provider charts in advance based on scheduling needs.
- Support add-on appointment preparation.
- Request, receive, and attach medical records to patient charts.
- Scan and upload documentation including EKGs, FMLA, and Workers’ Compensation forms.
- Retrieve and process physical documents for electronic filing.
- Manage incoming faxes and ensure proper filing in the EHR.
- Process Release of Information requests in compliance with regulations.
Communication & Support
- Serve as a point of contact for provider, orders, and medical records phone lines.
- Communicate clearly and professionally with patients and healthcare partners.
- Support clinical and administrative teams in obtaining patient information.
- Escalate concerns appropriately when needed.
Additional Responsibilities
- Maintain strict patient confidentiality and adhere to HIPAA standards.
- Follow OSHA safety guidelines and organizational policies.
- Participate in training and cross-functional support.
- Assist with general office tasks as assigned.
What We’re Looking For
- High school diploma or GED required.
- Typing proficiency of 32–38 words per minute.
- Basic computer skills, including Windows-based systems.
- Strong organizational skills and attention to detail.
- Ability to prioritize work and problem-solve effectively.
- Comfortable working in a fast-paced environment.
- Medical office or administrative experience preferred.
Physical & Work Environment
- Primarily seated role with frequent computer use.
- Regular phone communication.
- Occasional lifting up to 25 pounds.
- Repetitive hand and typing activity throughout the day.
Temporary Position Details
- This is a temporary full-time position expected to last approximately 3 months.
- Schedule may vary based on clinic and provider needs.
- This is a non-exempt position eligible for overtime as needed.
