Position Summary
The Patient Services Representative (PSR) – Front Desk is responsible for welcoming patients, coordinating check-in and check-out processes, scheduling appointments, and ensuring accurate patient information within the Electronic Health Record (EHR).
This role supports both patients and the clinical team by helping the clinic run efficiently, professionally, and on schedule.
Key Responsibilities
Patient Check-In & Check-Out
- Greet patients and visitors in a professional and welcoming manner.
- Check patients in and out for appointments.
- Verify and update patient demographics and insurance information.
- Collect co-pays and process payments.
- Schedule follow-up appointments according to provider instructions.
- Provide patients with forms, instructions, and general information as needed.
Scheduling & Administrative Support
- Schedule new and established patient appointments.
- Maintain provider schedules and communicate scheduling needs to appropriate staff.
- Answer phones and direct calls appropriately.
- Document patient interactions accurately in the EHR.
- Assist with general administrative and office support duties as assigned.
Team Collaboration & Professional Conduct
- Demonstrate accountability, professionalism, and respect in all interactions.
- Contribute to a culture of collaboration, excellence, and continuous improvement.
- Participate in role-relevant training and cross-training opportunities.
- Comply with all organizational policies and procedures, including HIPAA, OSHA, and workplace safety standards.
Qualifications
- High school diploma or GED required.
- Basic computer proficiency, including experience in Windows-based systems.
- Strong organizational skills and attention to detail.
- Friendly, professional communication skills.
- Ability to multitask and remain organized in a fast-paced environment.
- Experience in a medical office, customer service, or front desk role preferred.
- Bilingual (Spanish) preferred.
Physical & Work Environment Requirements
- Prolonged sitting and computer use.
- Frequent interaction with patients and staff.
- Ability to communicate clearly and effectively.
- Occasional lifting of up to 15 pounds.
